Important Notes
Users of the eTASK app for Windows
With the release of this update, a current version of the eTASK app has been released in the Microsoft Store. Please note that this current app version is compatible exclusively with the current release version of the portal; that is, both the portal AND all connected mobile devices must be updated.
Therefore, please update your mobile devices only if you also plan to update your portal to the current release at the same time. If this is not desired or possible, please disable the automatic installation of updates for the eTASK app on your devices. Please note, however, that after a previous update of your portal, your devices must also be updated to the current app version.
Please make sure to sync your mobile devices before the update.
Use of Data for Weather Adjustment
This update includes a change in how data is used for weather-adjusted calculations. If you use this feature and have stored data (including test data) in the following location, please contact your account manager before updating:
Control Panel\ Technical Building Management\ Energy Consumption Billing\ Weather-Adjusted Climate Data\ Weather Station Daily Average [°C].
eTASK.Onboarding
Improvement: "Start Employee Onboarding" timer job modified
The timer job for starting the onboarding processes for new employees now also checks for changes in supervisors and adjusts the onboarding requests accordingly to reflect the new responsibilities.
eTASK.DeskSharing
Bug fix: Appointment display in the DeskSharing calendar is now correct
(Customer Reference: INC000006108376 | CAFMBT-334)
In the Desksharing module, appointments were displayed incorrectly in the Desksharing calendar: booked workstations were only displayed correctly after zooming in on the calendar. This issue has been resolved.

Bug fix: Vehicle reservation - Entering destination

A bug has been fixed that prevented the destination selection in vehicle reservation from being cleared and replaced with a manual entry without reloading the entire form. It is now possible to clear the destination selection and enter a manual destination.

You have the option to create and manage vehicle accessories for your vehicles. You can now also assign objects to these accessories. This assignment gives you access to all our processes related to objects—for example, inventory, maintenance, and repairs.
eTASK.Cost Entry
Improvement: Changing the name of a static characteristic
In the "Partial Services/Invoice Items" form, the static attribute "Total Rentable [m²/unit]" in the "Input Tax Allocation" info area has been renamed to "Total Rentable." The form is located in the menu under [Property Management/Property Accounting/Cost Entry/Incoming Invoices/Partial Services/Invoice Items]

eTASK.Rental
Bug fix: Vacancies were calculated incorrectly in input tax allocation
In mixed-use buildings (residential and commercial), vacancies were not taken into account in the input tax allocation. This has been corrected.
Rooms that meet the following criteria are treated as non-input tax deductible:
1. Rooms declared as "Gross" or "Gross=Net" in the lease agreement
2. Rooms assigned to a usage type where the checkbox "Do not include in input tax deduction when vacant" is selected
The latter is configured in the System Settings under "Portfolio (BIM) - Property Register - Rooms - Usage Types per DIN 277."

Bug Fix: Correct Display of Refunds (Tenant Account Statement)
The "Tenant Account Statement" did not display refunds to the tenant in the correct location. This error has been fixed.

Improvement: Correction of the calculation in the "Tenant Account Statement"
The Tenant Account Statement report groups the transaction text within a month. If two transactions had the same text, this resulted in an incorrect calculation in the report. This behavior has been changed: In the future, the transaction ID will be used as the basis for grouping.

eTASK.Media Supply / Energy
Improvement: Energy consumption can be better allocated to tenants
With this release, it is now possible to better allocate the energy consumption of a rented building to the tenants. A building can now be selected in the Meter Types form. Additionally, it is possible to assign a meter to a parking space. The operating cost statement has been expanded to include cost breakdown by room from the lease agreement as well as the designation of cost types in the room cost types.

Support Information: Weather Data: Daily Averages with New Date Format
In the configuration of the Daily Averages table, the date was previously entered as text (example: "20240805"). Starting with this release, the date field also uses a date format (example: "09/05/2024"). If a user has entered daily averages in the previous format, these entries must now be edited via eTASK. Otherwise, an extended import of Excel data will fail. Please contact us in this case.

eTASK.Training Management
Bug Fix: Training Management - Tooltips
Missing tooltips in the participant scheduling section of Training Management have been added.
Bug Fix: Training Management - Participant Assignment - Selection of Potential Participants
A bug has been fixed that previously allowed only individuals who had already attended a training session for the same role at least once to be invited to a training session. Now, all individuals currently assigned to this role who have not been deactivated or removed from the role can be invited to a training session.
Improvement: Changing the name of a static attribute
In the "Training Types" form, the static attribute "Code (GS = Basic Training)" in the "Identification" information area has been renamed to "Code." The form is located in the menu under [Control Panel/Infrastructural Building Management/Training Management/Training Types]
Improvement: "Participant Scheduling" Accessibility Revamp

The participant assignment in the Training Management module has been revised with regard to accessibility. The following items have been changed:

eTASK.Service Ticket
Improvement: Changes to cost centers take effect immediately for service tickets
Changes to a cost center for individuals are now applied immediately when creating a service ticket, rather than only after the next login.

Improvement: Faster loading time for "Overview of Open Tickets"

We have significantly sped up the loading time of the "Overview of Open Tickets" (Infrastructural Facility Management - Service Ticket) for you. Thanks to a technical change in the "Ticket Assignees" column, the overview now loads much faster. If multiple assignees are assigned to the service ticket, only those visible in the service list are displayed. A note indicates that there are additional assignees. By opening the service ticket, all assignees can then be viewed.
eTASK.Fleet Management
Improvement: Renaming a static attribute
In the "Accessory Storage Locations" form, the static attribute "Company" in the "Identification" info area has been renamed to "Stored at Company." The form is located in the menu under [Control Panel/Infrastructural Building Management/Fleet Management/Accessory Storage Locations]
eTASK.Maintenance
New Feature: Additional Functions for Maintenance Orders
(Customer Reference: CAFMCAB-12)
You can now also assign trades to your maintenance orders in the "Administration" section. In addition, users in the workflow roles "Property Manager," "Work Group Coordinator," and "Supervisor" now have access to the "Administration" and "Billing" sections. With this release, your maintenance system offers the new report "Order List: Buildings, Properties, Confirmations."
This report contains all maintenance orders. They are sorted by building, the assigned properties, and the completed confirmations. The report may include orders multiple times if they are used for properties in multiple buildings. In this case, the order is included as many times as it applies to buildings. The objects are displayed once as a simple count and additionally as a list with barcode and exact location. Information about the spatial structure above the building can also be displayed.
Improvement: Change of a name for a static attribute
In the "Order List" form, the static attribute "Contract" in the "Order -> Order / Contract" information area has been renamed to "Commercial Contract." The form is located in the menu under [Technical Building Management/Maintenance/Order List]
eTASK.Room Reservation
Bug fix: State-specific holidays are now taken into account (Room Reservation)

State-specific holidays were not taken into account in room reservations. Although holidays were excluded from bookings, reservations were still possible on those days. This behavior has been fixed: Holidays are now taken into account in the Room Reservation module.

Performance when searching for available meeting rooms has been optimized.
Improvement: Service list - "Meeting title" is displayed

The service list now always displays the selected title for a room reservation at the end of the description. This change takes effect immediately with the update and applies retroactively to all tickets of the "Room Reservation" service type.

eTASK.FM Portal
New Feature: Inheritance of Workflow Rights: List-Connects
(Customer reference: CAFMCAB-200)
Previously, workflow rights only applied up to a subordinate function node. (Example: "Contracts" contains the ListConnect to "Contract Values." "Contract Values" contains the ListConnect "Contract Values Details." Thus, the rights did not previously extend to "Contract Values Details.") With this release, the inheritance of workflow rights is also possible down into List-Connects of List-Connects. (In other words, the rights are set once in "Contracts" and are inherited down to the second function node "Contract Values Details," so they no longer need to be set there separately.)

New Feature: New Timer Job "Cleanup Tasks"
The new timer job "Cleanup Tasks" processes and terminates outdated logins and locks on records in a context where the portal is operated behind a load balancer. The job must not be activated if the portal is not operated behind a load balancer.
New Feature: Multiple copies of objects are now possible
(Customer Reference: CAFMCAB-121)
Use the new "Copy Object Multiple Times" function under Extras in the object menu to create multiple copies of the open object. When copying, you can specify the barcode for the copied objects. The following data is copied along with the object:

Photos
Warranties
Dynamic attributes for which the "Empty when copying" parameter was NOT selected
Once the copies have been created, you will receive a notification via the system bar in the new message function.

Use the new "Copy Contract Multiple Times" feature under Tools in the contract menu to create multiple copies of the open contract. When copying, you can specify the contract numbers for the copied contracts. The following data is copied along with the contract:

If a link was entered and saved in the "E-Procurement" field of a contract form, it was no longer possible to delete the value later. This error has been fixed.

Bug fix: Import from https://-Adressen
(Customer reference: INC000006106956)
When importing https:// addresses into a dynamic characteristic of type "Link," a display error could occur in the import data, which in some cases led to a failed import. In such cases, addresses were displayed, for example, as https:\ /www.etask.de. This behavior has been fixed.

Bug Fix: "Error" MessageBox Removed When Logging Out of a Portal
In recent releases, an "Error" message was still displayed when logging out of the eTASK Portal, which disappeared immediately upon closing the portal page. This message has been removed.

Bug Fix: "Read-Only" Fields Can Be Modified via Excel Import
There was an issue where fields configured as "read-only" could be incorrectly modified via an Excel import. We have now prevented this from happening. These fields are not available in the Excel import template and therefore cannot be imported into the FM Portal.

Bug Fix: Selection Field Content for Objects Is Identical Again
Due to a setting in the portal configuration, a space was inserted into the automatically generated object code at a specific location in the portal. This discrepancy caused objects to be incorrectly assigned after they were exported to Excel and then reimported, as the automatically generated selection text for the object was not recognized. The error has been fixed.

Bug Fix: HSE Function - Officer / Accessibility Check and Display Error
For your HSE officers, you can define the area of responsibility by selecting locations, buildings, floors, and rooms. A location tree helps you with this, allowing you to select different levels. During use, a problem arose where, after selecting a location and saving, the form no longer displayed the checkmark for that location. This was merely a display error. In the background, the location was still selected. We have resolved this issue. All selected items are now marked accordingly.
Bug Fix: Correction of Contract Duration Calculation
(Customer reference: INC000006083326)
Contracts with a one-year term and a start date, for example, on January 1, now end correctly on December 31 and no longer on January 1 of the following year. This also affects renewals and notice periods.

Bug Fix: Weather Data Table: Export Function Corrected
(Customer reference: INC000006117640)
When exporting a table in the Weather-Based Climate Data, an error message occurred, among other things because it was not possible to export an empty table and special characters in the worksheet name caused problems. This issue has been resolved.

Bug fix: Searching in the column filter with * text in the service list returns no results
In the service list, no search results could be obtained using the text filter *. The error has been corrected: The wildcard search * in the service list now returns results again.

Bug fix: Excel import of custom reports / Type conversion error
An error message occurred when importing a custom report. The cause was the conversion of the "Form" and "Form List" columns. The error has been fixed. The Excel import of custom reports now works as expected.

Bug fix: Fixed an error when generating preview images

A bug has been fixed that caused values in dynamic selection fields to be sorted alphanumerically rather than according to the specified order in the characteristic definition.

Bug fix: Display of changed dynamic selection field values corrected
(Customer reference: INC000006142064)
A bug has been fixed that caused neither the old nor the newly selected values to be displayed when the value of dynamic selection fields was changed, if the record could not be saved. This can happen if, for example, a required field is not filled in, or the rules for a dynamic characteristic are not followed. No data was deleted during this process; only the display was incorrect after the error occurred.

Bug Fix: Fixed an error in workflow rights management
An access issue occurred when using records in workflows. Records located in the "Completed" workflow step could be edited by users who had write permissions or full access to the form but did not hold an active role in the workflow. We have now resolved this issue. Users who do not hold a role in the workflow are never able to edit records.

Improvement: Contract term setting for more than 5 years
Contracts can now be scheduled up to a maximum of 50 years in the future. This applies to commercial contracts under Basic Data\Contract Management. Lease agreements are not affected by this restriction. A prerequisite for this is the installation of a data package containing months and years beyond 2050. This can be requested from Support if needed.

Improvement: Management of access data for individuals optimized

The management and assignment of access credentials for users has been improved so that, for an authorized user, the information "Locked," "Password never expires," and "Password valid until" is now visible and editable in addition to the username.The information "Last locked since," "Failed logins," and "Last successful login," along with the "Change password" function, remain restricted to users who are members of an administrator group.Note: Do not assign passwords when creating new users. Instead, use the "Invite user" function in the form's menu bar. The invited user will be prompted to set their own password upon their first login. Users can change their password in their user profile after a successful login or use the "Forgot Password" function on the login page.
Improvement: Compliance with DIN SPEC: Change of character set in the portal
(Customer reference: CAFMCAB-107)
The character set used in the portal has been changed to display all characters specified in DIN SPEC 91379. As a result, the names of all users within the EU can now be spelled correctly in their respective national languages within the eTASK system.
Improvement: Cost centers in the API expanded to include cost center type
The eTASK.API is now able to return the cost center type along with the cost center. You can find the API documentation for now at the following link: https://cafm-bund.etask.de/API/.

Improvement: Property Cadastre: Room names now also displayed
The Property Cadastre provides you with an overview of all your locations, buildings, floors, and rooms. Previously, only the room numbers were displayed for rooms. With this release, room names are now also displayed, provided they are stored for the room. This allows you to better recognize your rooms and navigate the Property Cadastre more easily.

Improvement: Screen reader detects focus on folders with subitems in the menu tree

When the focus was on a folder in the menu tree that had additional sub-items, this was not detectable by the screen reader. This has been addressed: The different icons/labels are now detectable.
Improvement: Accessibility according to BITV2: Further improvements

We are continuously working to meet the accessibility requirements of the Accessible Information Technology Ordinance (BITV 2.0). We already meet various BITV 2.0 criteria or have advanced them with this release, such as operating the portal with a keyboard, labeling form elements and graphics with alternative text, and ensuring the portal is operable without relying on color perception.

Improvement: Resolve "keyboard traps" for known/reproducible cases/examples

When navigating the menu using a keyboard, it was possible that at a certain point (if the menu item included a "magnifying glass" icon) further navigation would be blocked ("keyboard trap"). The issue has been resolved.
To expand and collapse nodes in such a tree using the keyboard, use Ctrl+Left Arrow/Ctrl+Right Arrow.
Improvement: Improved use of the Swagger documentation for the eTASK.API
(Customer reference: CAFMTT-78)
In our Swagger documentation for the eTASK.API, the browser would freeze when expanding certain endpoints. This issue was already addressed in a previous release and has now been fully resolved. You can currently find the API documentation at the following link: https://cafm-bund.etask.de/API/.

Support Information: Operation with iPad and external input devices not possible
On devices running newer iPadOS operating systems, the portal cannot be operated using an external input device such as a mouse or stylus. Touchscreen operation remains possible as usual.
Support Information: Beta Feature "Logical Client Separation"
The logical client separation feature is still in beta status. The following functions are currently available:

eTASK.Key Management
Improvement: Key management reports have been reviewed

The reports in Key Management have been reviewed. All issued keys are now included in all relevant reports. Additionally, various labels and data compilations in the reports have been modified.
eTASK.Inventory
Bug fix: Photo resolution optimized in the eTASK Mobile App
An issue has been resolved where, in the eTASK.WinApp/Inventory, photos could only be taken at a limited size. The corresponding adjustments to the Windows Camera app have been implemented, and it is now possible again to capture and save images at the maximum resolution of the camera on the device being used.
Improvement: Added inventory personnel to the inventory object list

The "Inventory Object List" provides information on whether and when your objects were last inventoried. With this release, this list now also includes the name of the person who performed the last inventory.
