Important Notes



Users of the eTASK app for Windows

With the release of this update, a current version of the eTASK app has also been released in the Microsoft Store. Please note that this current app version is compatible exclusively with the current release version of the portal, meaning that both the portal AND all connected mobile devices must be updated.


Therefore, please update your mobile devices only if you also plan to update your portal to the current release at the same time. If this is not desired or possible, please disable the automatic installation of updates for the eTASK app on your devices. Please note, however, that after a previous update of your portal, your devices must also be updated to the current app version.

Please make sure to sync your mobile devices before the update.



Users of the eTASK Add-in for Revit

With the release of this update, a current version of the eTASK add-in for Revit has been made available in the Customer Center. Please update your eTASK add-in for Revit to the latest version.


!! Starting with this release, we are discontinuing support for Revit versions 2019 and 2020. If you have any questions regarding this, please contact your account manager at Projektteam@etask.de.




Invoice Receipt Workflow Basic

New Feature: Signed Files in Invoice Receipt

The Invoice Receipt module in eTASK.Cost Entry can now also process PDF files that have a digital signature.

eTASK.BIM

Improvement: Display of windows in the 2D view of the BIM Explorer

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. Window elements are now displayed more reliably in the BIM Explorer. Previously, there was sometimes an issue where a solid wall was displayed even where window elements were defined. Now, windows are always displayed correctly, with a corresponding opening in the wall.

Improvement: Editing BCF tickets now also possible in German

The function for viewing and editing BCF tickets in the eTASK.BIM Explorer now features a German-language user interface.

eTASK.Operator Responsibility Suite

Bug fix: Timeout error when retrieving REG-IS data fixed

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. Previously, timeout errors sometimes occurred when retrieving REG-IS data via the API. We have now optimized the retrieval process so that this issue should no longer occur.

eTASK.Payment Transactions

Bug fix: Error with cash discount deduction fixed

When paying incoming invoices with a cash discount deduction, it could happen that the unpaid cash discount amount was included again in a later payment run if the vendor had not enabled the "Always deduct cash discount" option. This behavior has been corrected. An invoice from which a cash discount was deducted is now always recognized as fully paid, regardless of the vendor’s settings.

eTASK.Vehicle Booking

Improvement: Vehicle bookability and user booking permissions

The vehicle form now features an "Availability Check" information section. Here, the vehicle configuration can be checked in real time. If a vehicle is not available for booking, the reasons can be viewed in this section. The self-drive form now features a "Check" information section. Here, you can check whether the person is generally authorized to book vehicles and whether suitable vehicles are generally available. The "Check of User Booking Authorization" report now also includes a note when the traffic light is "green." A typo in the vehicle mileage forecast has been corrected.

eTASK.Cost Entry

New feature: Distribute accruals over multiple months

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. Items on outgoing invoices now offer the option to accrue the item starting from a specific date for a number of months. The necessary G/L accounts for the accrual can be specified for each company. This allows invoice revenue to be distributed over several months.

New Feature: Automatic Payment Allocation to Recurring Outgoing Invoices

With this release, we enable the automatic assignment of payments to recurring outgoing invoices / standing invoices, even if the transfer is made using the original invoice number. Both open items and payments are sorted by date, and if the invoice number and amount match, the payment is assigned to the oldest open receivable associated with the standing invoice.

Bug fix: Issue with transferring the payment due date when creating outgoing invoices

There was a temporary issue with transferring the payment due date from the sales invoice entry screen to the invoice form. Despite entering the information in the entry screen, the "Payment Due Date" and "Payment Terms" fields in the invoice form remained empty. We have fixed this issue so that you can enter your sales invoices as usual.

Bug Fix: Display of Outgoing Invoices and Open Items

Note: This change was already released in the *May 2024 release*, but was omitted from the release notes due to a technical glitch. An outgoing invoice with a negative value was incorrectly displayed with a duplicate value in the list of open items or in the list of outgoing invoices. We have fixed this error.

Bug Fix: Posting of Partial Payments Now Possible Again

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. We fixed an error that prevented partial payments from being posted because the necessary interface element could not be accessed.

Bug fix: Error in calculating cash discount deductions from incoming invoices fixed

When an incoming invoice is paid with a cash discount deduction, a corresponding entry is automatically created in the posting journal. To ensure the invoice is marked as fully paid in the FM Portal, the cash discount deduction is also entered for each invoice line item. An error occurred here during the calculation of totals. We have fixed this, so that all cash discount deductions are now entered into the posting journal with the correct calculation.

Bug Fix: Transferring an Invoice to a Payment Run Before the Due Date

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. When paying your incoming invoices, you have the option to use "Payment run before due date" to ensure that the payment is transferred to the bank before the due date is reached. An error occurred here. If a payment run was scheduled for the due date, the payment was included in that run. We have corrected this. Invoices for which this option is enabled are transferred to a payment run that occurs before the due date.

Improvement: Assigning G/L accounts to cash discount entries now possible without an additional license

We have expanded the eTASK.Cost-Entry product to allow the assignment of "G/L accounts for cash discount postings" even without the complete eTASK.Property-Management product suite.

Improvement: Accrual of outgoing invoice items in closed months

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. It is no longer possible to post an accrual for a month that has already been closed. This prevents the accidental posting of accruals to closed months.

Improvement: Allocation of lease payments even after the lease has been renamed

Postings related to lease agreements are now also found for payment assignment even if the lease agreement has been renamed in the meantime.


eTASK.Rental

Improvement: Better logging when creating new lease agreements

If errors occur when creating new lease agreements using the "New Lease Agreement" function, these are now written to the application log in addition to being displayed directly via an error message. This allows you to review all events at any time, even later. You need administrative rights to view the application log.

Under certain circumstances, it was possible that an error occurring while creating a new lease agreement would not be saved in the application log. We have now expanded the log so that all errors related to the "New Lease Agreement" function are documented.

eTASK.Training Management

Improvement: New workflow and improved participant scheduling

(Customer Reference: CAFMBT-284)

We have updated the training management system for you to incorporate the latest technologies, particularly regarding participant scheduling, and have added a modern and streamlined workflow for managing participants. The workflow includes the steps "Planning," "Participants Invited," "Reminder," "Training Completed," and "Cancellation." The system automatically checks whether the maximum number of participants has been reached and, if so, prevents further participants from being invited. You can also return from the "Invite Participants" step to the "Planning" step if, for example, there are too few confirmations. The new workflow helps you organize and manage your training sessions in an even clearer and more reliable manner.


eTASK.Maintenance

Improvement: Rejected orders in maintenance plan and acceptance inspection report

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. In the "Maintenance Plan" and "Acceptance Inspection" reports, orders that were rejected by the client and not issued are now displayed in a separate category. This makes both reports more meaningful for contractors.

eTASK.FM Portal

New Feature: Service Areas for Facilities and Inventory

(Customer Reference: CAFMCAB-39)

For an object (system/inventory), you can now select which rooms are served by that object. The service area can be used in various ways, for example, to specify which rooms are served by a ventilation system or which rooms can be reached via a specific elevator.The assignment can be made at the location, building, floor, or room level. In doing so, all rooms below the selected level are automatically selected and assigned. An overview of all assignments of objects to rooms can be found under Objects/Assets - Supply Areas of Objects. This table is intended for overview purposes only. Assignments should always be made via the object form.

New Feature: SAML with Advanced Encryption Options

(Customer Reference: CAFMCAB-150)

SAML login has been enhanced to support all available encryption features. Currently, SAML login works for Microsoft Azure. We are working on enabling this feature for ForgeRock IDM as well.

New feature: Advanced management and use of communication data

(Customer Reference: CAFMBT-97)

Note: This change was already released in the *May 2024 release*, but was omitted from the release notes due to a technical glitch. We have added the ability to store any number of contact details to the "Companies/Addresses" and "Positions" forms. In addition, we have created the "Communication" master list based on this functionality. You can find it under Basic Data - Employee Management. There, you can centrally access all stored communication data and generate individual phone books.

New Feature: Integration of BCF Data in the Service Ticket Workflow for Warranty/Defect Management

(Customer reference: https://vision5g.etask.com/neon/App.Etask/)

Our best-practice workflow for service tickets now also supports the use of BCF files. This allows both BCF tickets to be imported into the FM portal and created there as service tickets, as well as BCF tickets to be generated from service tickets within the FM portal. BCF tickets are created from within the portal via the eTASK.API. Integrating the service ticket workflow with BCF files primarily simplifies warranty and defect management.

Bug Fix: Display Error in the "Characteristics in Forms" Form

In some cases, the value in the "Type Filter Value" field in the "Characteristics in Forms" form was no longer displayed after saving, even though it had been saved correctly. We have fixed this display issue. The values are now displayed correctly both before and after saving.

Bug Fix: Removed Incorrect Space in Export of Numeric Values

(Customer Reference: CAFMCAB-199)

When numeric fields were inserted into a dropdown field for identification purposes, a space was briefly inserted before the comma, which prevented the subsequent import of the same content. This space has been removed. In the meantime, an error occurred where a space was inserted before the comma in numeric fields during file export. This prevented subsequent import into the FM Portal. We have fixed this error. No comma is inserted during export.

Bug Fix: Fixed an error in room booking

Combined meeting rooms can be booked individually or as a single combined room. A problem occurred where, if one room was booked, the other room could no longer be booked at the same time, even though it was still available. We have now fixed this error.

Bug fix: Unable to save rooms

(Customer reference: INC000005828581)

An error has been fixed that prevented records from being saved when dynamic fields configured in the form are not assigned to a static area, have the same display sort order, and are not editable.

Bug Fix: A "?" is appended to the end of every comment

An error had occurred in the meantime where a question mark "?" was inserted into the text entered in the subject line when creating a comment. Comments can now be created as usual again.

Bug fix: Improved display of empty fields in tables

In some tables on our FM portal, empty fields were displayed with the value "0." To avoid confusion with the actual value "0," we have now adjusted this throughout the system so that these fields are displayed as empty. A "0" is only displayed if this numerical value is actually stored for the field.

Bug fix: Excel import: Certain characters are no longer treated as placeholders

During Excel import, the characters "_", "%", and "*" were interpreted as placeholders and inserted as such. We have now changed this. These characters can be imported as characters and are adopted exactly as they are.

Bug fix: Display error for "Time remaining until end of session" fixed

(Customer reference: INC000005930730)

The time remaining until the end of the session is displayed in the top-left corner of your FM Portal. An error occurred where the time would start counting up again after reaching the end. So, if you opened the tab of your FM Portal and logged out after the session ended, you may have still seen a remaining time displayed. This created the impression that you were logged out before the time expired. The time remaining until the end of the session now stays at 00:00 and does not start counting up again.

Bug Fix: Overwriting Values in Selection Fields

(Customer Reference: CAFMCAB-19)

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. If a dropdown field in a record already contained a value and you attempted to overwrite that value, an error occurred when entering a new value. The first two letters entered were removed, so the word had to be re-entered. We have now fixed this error. Selection fields can now be overwritten as usual.

Bug Fix: Unintentional deletion of rights in rights groups is now prevented

(Customer reference: CAFMBT-260 | CAFMCAB-203)

In rights management, a problem occurred where using the "Include subfolders (no info areas)" function in one rights group unintentionally changed the settings in other rights groups. When selecting a folder in the menu structure, all permissions that other permission groups had for that path were deleted. We have fixed this issue. Settings in permission groups are now unaffected by settings in other permission groups. Additionally, changes to permission groups are now recorded even more precisely in the data archive, ensuring that all operations can always be viewed and reviewed transparently.

Bug Fix: Error in Operating Cost Calculation

We fixed a bug where, after deleting a lease agreement and recreating it with the same lease agreement number, that agreement could no longer be included in the operating cost statement. This resulted in a system error indicating "a row with a duplicate key." The operating cost statement now handles such actions more robustly.

Bug Fix: Fixed an error in read-only areas

An error occurred where settings in a read-only area were deleted when saving the record if the permission restriction originated from the workflow settings (as opposed to permission restrictions from permission groups). We have fixed this error. Regardless of whether the read-only restriction comes from the workflow settings or from the permission group, the settings in these areas remain unaffected by editing and saving the rest of the record.

Bug Fix: Improved Handling of Proxies and Deactivated Users in the Contract Management Workflow

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. The "Contract Management" workflow can now better handle active delegates and deactivated users. Previously, an endless loop of escalations could occur during the review of personnel assignments. We have now made this step more robust so that the workflow runs reliably.

Bug fix: Deep links now lead to the correct location after login

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch.When using deep links to a specific form in your FM portal, the following issue sometimes occurred: If you send a deep link to a specific location in your FM portal, users who open the link must first log in to the FM portal if they are not already logged in. This sometimes caused an issue where, after being prompted to log in, the portal’s home page opened instead of the linked location. We have now fixed this issue. Even after logging in, the deep link still leads to the desired location.

Bug Fix: Fixed an error when importing dynamic attributes

(Customer reference: CAFMCAB-169)

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. When using the Excel import, dynamic fields are checked to ensure they are unique. This check was incorrectly performed across all catalogs. With this release, the check now only applies to the catalog in which the dynamic attribute is defined.

Bug Fix: Display of "Created by" in the Data Record Archive

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. For each record in your FM Portal, the "System" section stores who created the record. In rare cases, if the relevant user could not be determined, the user who had last used this function was entered instead. We have now fixed this so that the correct user is always entered.

Bug Fix: Filtering in the Service List

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. A bug has been fixed that temporarily disabled the filter function for individual columns in the service list. You can now filter your service list as usual again.

Bug Fix: Selection Fields with Disabled Values

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. Disabled values can be displayed in a dropdown field. The issue here was that the field appeared empty when opening a record, even though a disabled value was stored. Now, disabled values are displayed as usual again.

Bug Fix: Incorrect entry removed from the application log

(Customer reference: INC000005804334)

When using the room booking calendar, entries in the application log indicating a missing Newtonsoft.Json version could occur in certain cases. However, the "error" described there had no impact whatsoever on the functionality or user interface of the room booking calendar. Therefore, with this release, the message is no longer written to the application log. Nothing changes regarding the operation of the room booking calendar.

Improvement: Improved API handling of new fields and required fields

The API can now better handle missing entries for new fields that are not required fields. Additionally, for required fields that have a default value, this value is automatically used if the fields are empty. This makes the API even more robust when changes are made to fields.

Improvement: Workflow roles are no longer assigned to deactivated users

Note: This change was already released in the *May 2024 release*, but was omitted from the release notes there due to a technical glitch. With this release, the system automatically prevents workflow roles from being assigned to deactivated users.

Improvement: Switching room occupancy between fixed and flexible

Note: This change was already released in the *May 2024 release*, but was omitted from the release notes due to a technical glitch. In room allocation, you can now also change the allocation type between fixed and flexible when planning a move. Previously, moves were only possible within a single allocation type. This gives you even more options to customize and manage your moves.

Improvement: Improved use of the Swagger documentation for the eTASK.API

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. In our Swagger documentation for the eTASK.API, the browser freezes when expanding certain endpoints. We have now resolved this issue for some endpoints. Unfortunately, we have not yet resolved this for all endpoints.

Improvement: Improvement in the application log

(Customer reference: INC000005804305)

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch.All events related to logins in the FM Portal are written to the application log. Previously, if a user canceled a SAML login themselves, this event was classified as "Error." We have now changed this and display the event as "Debug."

Improvement: Improvement of the "Delete Locations" function in the Portal Control

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. In Portal Control, you have the option to delete locations from your FM portal. We have improved this process for you with this release. Depending on the location, associated buildings, floors, and rooms are also deleted. If, while deleting locations, you encounter data that you believe should also have been deleted, please feel free to contact our support team.

With this release, we have made further progress in our redesign of the FM portal and have made our portal more accessible in the following areas:

  • Improved tab order in forms

  • More precise and understandable error messages

  • Better contrast

  • Meaningful link text

  • Improved visibility of the focus in Quick Booking and other forms

  • Technical issues with alternative text for elements in the menu navigation resolved

Improvement: Multiple selection via checkbox lists

We have improved the use of selections via checkbox lists. Previously, when selecting or deselecting records, they were deleted and then recreated. However, this was no longer compatible with our improved Excel import. Therefore, we have improved this process with this release and now modify the records instead of deleting and recreating them.

Improvement: Replacement of the ntext, text, and image data types (Microsoft announcement May 31, 2023)

Some outdated data types that Microsoft will no longer support in the future have been replaced with modern variants in the database.

Improvement: Long names for worksheets in Excel export

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. When you export data from your FM portal to Excel, worksheet names are now automatically truncated to the 31 characters allowed by Excel. This means that even with long names, the corresponding error message no longer appears in Excel.

Improvement: Improvements to keyboard navigation

(Customer reference: CAFMCAB-19)

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. We have improved keyboard navigation in the following areas:

  • Navigation on the "Services" and "Dashboard" home pages

  • Operation of the "Photo Viewer"

  • Navigation elements in the dropdown list in selection fields ("Next Page" and "Refresh")

  • Display of tooltips when using forms with the keyboard and output via the screen reader

  • Improved use of the "Create New Company" function with the keyboard

  • In calendars for rooms and vehicles, multiple selection is now possible via keyboard navigation

  • The additional buttons in the service list are also accessible via the keyboard

Improvement: More features related to login settings

With this release, we have expanded and improved the editing of login settings. Users who have editing rights for the "FM Portal Login Data" section in the personnel list but do not have administrative rights can change usernames, unblock accounts, and activate the "Password Never Expires" feature. They can also view how long a password is valid. Users with administrative rights now receive information regarding account locks, including when an account was last locked and the date of the most recent lock. Additionally, they can view how many failed login attempts have occurred and when the last successful login took place. The ability to assign a local password remains reserved exclusively for users with administrative rights. New users can be invited to the FM Portal without a password and can set their own personal password using the "Forgot Password" feature on the login page. These changes do not affect the ability to change an existing password in the user profile after logging in.

Improvement: Faster verification of Excel imports

(Customer Reference: INC000005947492)

Before importing data from an Excel file, the import file is first checked. We have now optimized the duration of this check. An import file with 50 columns and 25,000 rows was successfully checked in less than 1 minute. The check duration depends primarily on the performance of the SQL server. The complexity of the file to be imported also affects the verification time. The number of columns and rows plays a major role here, as does the number of columns to be integrated into selection fields. Please note that the actual import of the files has a time limit of 15 minutes. As a guideline: The import takes approximately six times as long as the validation. This allows you to assess during the validation process whether the import will be successful or if the file to be imported is too large.

Improvement: Access to Config Explorer blocked

(Customer reference: CAFMCAB-155)

With this release, access to the Config Explorer is blocked. Although changes can be made to the FM Portal there, these changes will be overwritten during the next update. To avoid confusion, we have removed this feature with this release.

Improvement: Property Explorer: Display of locations without buildings

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. In your FM Portal, you can manage locations that are not assigned to buildings or floors, but rather to additional hierarchies. We have now updated the Property Explorer so that these locations are loaded along with their hierarchies and can be viewed.

Support Information: Update to .NET Framework 8

.NET Framework 8 will be a requirement for one of the upcoming releases. Therefore, please prepare the servers on which the FM Portal is running for this now and schedule the installation of .NET Framework 8.

With this release, you can define for key and cylinder groups whether there should be a minimum stock of these keys or cylinders and what that minimum should be. In addition, we have created an evaluation for each group that uses a traffic light system to indicate whether the minimum stock level is being maintained.

Improvement: Uniqueness check for key codes

It is now no longer possible to create keys with the same combination of key number and key group. Each key must have a unique key number within a key group. This ensures that all keys can always be uniquely assigned.

eTASK.Inventory

Bug fix: Synchronization error with match codes in the Inventory app

Note: This change was already released in the *May 2024 release*, but was missing from the release notes due to a technical glitch. When using the Inventory App, there was occasionally an issue where newly added match codes could not be transferred from the app to the connected FM portal. We have fixed this error. All data can now be transferred from the app to the portal as usual.

Improvement: Deactivated objects in the "Inventoried Assets" dashboard tile

Note: This change was already released in the *May 2024 release*, but was missing from the release notes there due to a technical glitch. Deactivated objects are no longer included in the "Inventoried Assets" tile on your dashboard. This gives you a quicker overview of the inventory status of your active objects.

Improvement: Deactivated objects in inventory reports

We have improved how deactivated objects are handled in some reports within our inventory management system. Deactivated objects are now either no longer displayed or are marked as deactivated in the report. This applies to the following reports:
