Users of the eTASK app for Windows:

With this release, support for the Windows app eTASK Mobile will end. Be sure to sync all your devices before updating, and then uninstall the Windows app.
The new My eTASK app, featuring the Inventory and Service Ticket modules, is available for your Windows devices as well as for Android or iOS devices in the respective app stores.

Simply continue using your existing login credentials, devices, and barcode scanners with the new app. If you have any questions, please contact your CAFM consultant or eTASK Support.

Users of the eTASK.CAD (Aperture) product

If you are currently using eTASK.CAD with the Aperture Web Visualization, do not update to this version. Please be sure to contact your CAFM consultant to plan the transition to eTASK.CAD (AutoCAD). As announced some time ago, the Aperture components have now reached their final end of life.

Users of eTASK Contract Management

When installing the update, you must download the "Automatic Contract Resubmission" workflow from the Customer Center and install this plug-in. The previous workflow could enter an infinite loop and continuously send emails if associated with deactivated users.


eTASK.DeskSharing

Bug fix: Desk-sharing seats can no longer be booked at the same time

(Customer Reference: INC000006623759)

Under certain circumstances, users could book multiple different desk-sharing spaces for themselves at the same time. This is no longer possible as of this release because the current status is checked again not only during the search but also when clicking "Book."

Bug fix: Desksharing: Booking an additional workstation possible on the day before the booking

(Customer reference: INC000006183729)

If you had booked a space for, say, Friday, it was then impossible to book a space on any of the preceding days for about 5–10 minutes. This bug has been fixed in this release.

eTASK.BIM

New feature: Configuration of BIM stamps for locking systems

Information about the cylinder can now be displayed on the door stamp in the BIM Explorer.

Improvement: Checking the version of the IFC exporter before publishing


To reduce support costs and the risk of errors when publishing models, the system now checks before publishing whether the version of the installed IFC Exporter matches the one from the Revit add-in being used. Publishing is prevented with a corresponding message if the wrong IFC Exporter is installed.

eTASK.Payment Transactions

Bug Fix: eTASK Payment Run Corrected

There was a brief error in the automatic payment run. This could have resulted in duplicate transfers. This issue has been resolved.

Improvement: "Payment Assignments" now include the sender from the account posting

The list of payment assignments has been expanded to directly display the sender of the payment from the account entry, thereby simplifying the assignment process.

eTASK.Environmental Management

New feature: Expansion of eTASK.Environmental Management to include a pollutant registry

A pollutant registry has been developed within Technical Building Management. This allows for the centralized recording of pollutant occurrences.

  • Pollutant occurrences can be recorded and assigned to rooms, outdoor areas, and properties.

  • Contaminant occurrences can be created as “confirmed” or “suspected.”

  • There are statuses for pollutant occurrences: “present,” “removal planned,” “removal in progress,” “removed.”

  • Contaminant reports can be recorded and assigned to contaminant occurrences.

  • Contaminants are imported from the existing “waste types” in the environmental management system. 

  • A “Contaminant Register” report displays all contaminant occurrences in the inventory along with structural data and status.

eTASK.Catering Room Service

Improvement: Booking form now also optimized for client management

(Customer reference: CAFMCAB-225)

You can use your eTASK.FM portal with different logical clients. Certain data in your portal will then only be displayed for the selected client. This now also applies to the booking form in the Catering Room Service. The filters available there show you only the data for selection that belongs to the currently active client. Additionally, records that have been deactivated are not displayed. This means you only see the data that is active and belongs to your client.

eTASK.Vehicle Booking

Improvement: Vehicle Booking: Optimized for use with a driver pool

Vehicle booking has been adapted for use with a driver pool instead of fixed drivers. The final driver can be assigned by the coordinator group during the booking process. Additionally, the reporting of mileage has been further optimized. Depending on the booking type, this is now done by the self-driver or the professional driver, and no longer always by the self-driver.

  • New field in vehicle booking: "Assigned professional driver"

  • Professional driver assignment adjusted—first from appointment, then from vehicle

  • New action in the workflow to initially transfer the driver from the vehicle to the appointment during booking.

  • New role "Reporter" added

  • Assigned based on booking type: either a professional driver or the user (for self-drivers)

  • Reporters, supervisors, and coordinators are authorized to report mileage

  • Email notification is sent to the reporter and thus no longer to the user for bookings with a professional driver

eTASK.Operating Cost Settlement

Improvement: New variable for SEPA texts

For users of operating cost statements, the SEPA texts are listed on the report if configured accordingly. These serve as a pre-notification of the direct debit for the customer. Among other things, the company’s creditor ID is a mandatory field. The creditor ID can now be used as a variable.

eTASK.Cost Entry

New Feature: Revision of the Workflow for Incoming Invoices

The workflow for incoming invoices has been revised. When a fiscal year is closed, all tickets for invoices from that fiscal year that are in the "paid" step are now set to the "closed" step.

Bug fix: Bank details are not imported from the XML

When creating an incoming invoice in the xRechnung format, the bank details were not included. This issue has been resolved.

Bug fix: Correct calculation of cash discount in journal accounts

If an outgoing invoice is paid with a discount and assigned in the bank, additional posting journals are generated. The posting journal generates one entry per invoice line item. However, this resulted in an incorrect calculation. The error has been fixed. The invoice generated during the discounting process contains the discount amount associated with the line item.

Bug Fix: XRechnung is now also recognized in version 3.0.1

There was an issue where XRechnungen could not be processed in the current version 3.0.1. We have now resolved this issue. XRechnungen are now recognized and processed in all available versions.

Improvement: More transparent automatic assignment of vendor names

You can use the "Companies & Addresses" form to create a vendor for this record, thereby reducing the amount of data you need to enter. Previously, a new vendor record created in this way was assigned the designation "KNEU1" followed by a sequential number. From now on, the designation will consist solely of the sequential number. 

Improvement: Verification of bank details for invoices from recurring invoices

The documentation has been improved to make this feature easier to access.

Bug Fix: Fixed an error with debit posting in the correction run

An error occurred during debit posting in the correction run. The issue has been resolved.

An error occurred when retroactively editing a debit position for a company. This error has been fixed.

Bug fix: Offsetting in tenant account statement corrected

An error occurred when balancing transfers and the associated offsetting entries. This has been fixed.

Improvement: Addition to Lease Agreement Module (automatic generation of contract numbers)

An error occurred when creating lease agreements because the default setting for the lease agreement number (numbers in the last five characters) was not clearly recognizable to customers. Effective immediately, a message will be displayed when creating a lease agreement. Customers can continue to use their own numbering system, but in that case, a lease agreement number will no longer be generated automatically. In this case, no technical error is displayed; instead, "Not Assigned" is used as the lease agreement number. The customer must then change this themselves. This improves the functionality for customers with their own numbering system for lease agreements without compromising the convenience for customers using eTASK numbers.

eTASK.Utility Supply / Energy

Bug fix: Meter configuration corrected

In the energy consumption billing, there was a scenario that calculated values incorrectly. This has been corrected.

Improvement: Adaptation to the DWD’s new date format

The "Weather-Adjusted" table uses data provided by the German Weather Service (DWD). The DWD now uses the "DD.MM.YYYY" format for data transfer instead of the previous "DDMMYYYY" format. We have updated our portal accordingly so that all data continues to be displayed correctly.


eTASK.Move Management

Bug fix: Configuration in the Move Assistant remains intact

Due to the release of a plugin, the configuration of the selection fields for people, communication, and objects may have been altered. In these cases, the fields could no longer be used in the Move Assistant search or selected in selection fields. This has been fixed.

eTASK.Training Management

Bug fix: Service ticket: Time calculation corrected

In the service ticket workflow, the calculation of the "Escalation Interval [Days]" date could be incorrect. The settings have been corrected in the workflow specifications.

Improvement: Assigning Permissions in the My eTASK App

With the release of the next module for the My eTASK App, it is now possible and necessary to assign permissions to the individual modules within the app.

This works by selecting "Rights to My eTASK App Modules" in the "Rights" group in the Control Panel's info area to specify which of the available modules should be displayed to a user of the app with this rights group.

Modules for which the user does not have permission are displayed as locked in the My eTASK app.



eTASK.Fleet Management

Bug Fix: Issue with data import into the vehicle table resolved

Problems occurred during data import because the validation for two fields was not performed correctly. The settings have been adjusted so that the validation routine runs correctly during data import in the Vehicles section and invalid fields are flagged in the appropriate location.

Bug fix: Importing fuel receipts – Incorrect uniqueness index restriction

Errors occurred during Excel import within Fleet Management. For example, the same fuel receipt could be imported multiple times. This error has been fixed.

eTASK.Room Reservation

Bug fix: Booking Assistant - Detailed Booking - Fixed error related to holidays

An error occurred in the room booking wizard during detailed booking. If the first date of a recurring booking was a holiday and booking on holidays was disabled in the system settings, the subsequent dates were also displayed as unavailable. This behavior has been fixed.

Bug Fix: Quick Booking Change: Properties of Merged Rooms Are Now Displayed Correctly

An error occurred during quick booking: In the room selection, merged rooms were not displayed with the correct information about available windows. If one of the room sections had windows, this information was not displayed in the merged room. This behavior has been corrected.

Bug Fix: Visitor List (Unassigned Visitors) Now Displays Correct Values in the "Created By" Field

In the visitor list, you can specify which visitors you are expecting. When creating a new record, the "Created by" field stores which user created the record. This led to the issue where the correct user was not always recorded. We have now resolved this issue. The "Created by" field always displays the user who created the record.

eTASK.Cleaning Management

eTASK.FM Portal

New feature: Waitlist for bookings set up

(Customer reference: CAFMCAB-53)

The FM Portal now offers employees the option to add themselves to a waiting list if all objects (e.g., room, vehicle, workstation, resource) are already booked and reserved to their maximum capacity for the desired date.For all four booking types (room, resource, vehicle, workstation), an option is provided to set up a search request using the "Nothing found?" button. The search request is executed regularly to check whether a match is found using the entered search parameters. If this is the case, the person who set up the search request receives a notification via email or a notification bell. The message contains a link to the pre-filled booking form, where the newly available item can then be booked. For this to work, the timer job "Execute Search Requests" must be active. This should run regularly, at least daily (1,440 minutes).

New Feature: $$ Variables Available for Workflow Evaluation

All available email variables that can be used in emails sent via workflows can now be viewed under Control Panel - MyFM - Configuration Services/Workflows - Available Email Variables. This list includes all variables that can be used with the workflow licenses purchased by your organization.

New feature: ListConnect extension

Lists of linked records within a form have been improved. In addition to the "New" function, which creates a new record in the target table, the "Link to existing" function can now be used to open a list of records in the target table, whose content can be filtered, sorted, and searched, and then assigned via bulk editing. Information about the calling record is listed at the top of the list. This feature is available in select locations. Is this feature missing where you need it? New Feature: Object Events

A new section has been added to the object form. There, similar to vehicles in fleet management, events related to the object can be recorded.

New feature: Workflow delegates are notified via system message

If a person designates another person as their substitute in their user profile, the substitute is notified of this substitution via a notification in the portal header (bell icon) as long as the substitution is not in the past. The same applies if a substitution is deleted.Even if substitutions, e.g., in the event of illness, are entered or deleted by administrators, the substitute is notified.

New Feature: Client Display in View Reports

View reports/list reports can now also include a logical client. If this is the case, they are always loaded with restrictions based on the permissions of the currently logged-in users.

New feature: Central templates for portal emails

The eTASK.FM portal can now manage central templates for emails, so that, for example, logos, signatures, or email headers only need to be stored once in the system. All central layouts can be managed under System Settings - MyFM - Mail Layout. Under System Settings - MyFM - Mail Texts, the layout for each email can be selected and assigned.Note: If the email text already contains a header or signature, it must be removed to prevent it from being displayed twice.

New Feature: Client Separation Prepared Technically in Crystal Reports

Client separation has been technically prepared in this release. Future work will continuously add logical client separation to Crystal Reports-based reports in the FM Portal.

Bug fix: Role permissions for locked records corrected

(Customer reference: INC000006484503)

When two users open the same record, the first person can edit the record. The second person receives a message that the record is reserved; they can view it but cannot modify it. However, this resulted in the second person having access to more data content than intended by the system’s permission settings. This bug has been fixed.

Bug Fix: Vehicle Booking: Data Field Can Be Dragged to Enlarge

(Customer reference: INC000006449787)

The lists of selection fields in vehicle booking now also have a handle in the lower right corner that can be used to adjust the width and height of the list. They now correspond to the standard functionality of all other selection fields.

Bug fix: Selection field list width adjustable

We have standardized the behavior of all selection fields. The width of all selection fields can now be adjusted for every selection field in the portal.

Bug fix: Names too long for Excel export reports

The name of Excel export reports consists of three fields (Code, Description, Content). If these fields are too long, the report will not be generated. A note has now been added to the feature indicating the character limit for these fields.

Bug fix: Display issues after logging in/out

Under certain circumstances, after logging out and logging back in, the inner area of the portal would sometimes display the login page again. This has been fixed, and the data content is now loaded consistently.

Bug fix: Failed login attempts are now recorded correctly

(Customer Reference: INC000006460625)

In the Control Panel, failed login attempts were not correctly recorded in the Login Statistics list. This issue has been resolved.

Bug Fix: Client change is written to the data record archive

It is possible to change the logical client from within any record. However, this change and its associated details were not transferred to the record archive. This issue has been resolved.

Bug Fix: Missing Tooltips Are Now Displayed

Tooltips were not displayed for some fields in your FM portal, even when the fields were focused. This affected fields that can be filled in based on a previous field, such as a dropdown menu for departments where only the departments belonging to the previously selected building are displayed. With this release, tooltips are now displayed for these fields as well.

Bug Fix: Portfolio (BIM) - Floor List - Room Area Totals Corrected

In the Floors list under the Portfolio (BIM) menu item, the summation of room areas was not working. This issue has been resolved.

Bug Fix: "Invalid Logins" counter is reset after a successful login

(Customer Reference: INC000006239017)

If a user attempts to log in to the portal with an incorrect password, an administrator can see the number of failed login attempts in the user’s entry in the personnel list. This counter was not reset after the next successful login. This behavior has been changed. After a successful login, the counter resets to 0. Do you have questions about the security settings for the login? Please feel free to contact our support team.

Bug Fix: Location Data Cleanup Works Again

An error occurred when deleting a location in the Control Panel. This has been fixed. Data cleanup is working correctly again.

Bug fix: Bulk edit in the object list is working again

In the meantime, issues arose when using bulk editing in the object list. For example, changes to the "Inventory Date" field were not applied via bulk editing. We have resolved this issue for you. You can now use bulk editing again as usual to make changes to your objects.

Bug fix: Dynamic characteristics in standard groups are displayed again

There was previously an issue where dynamic attributes could no longer be displayed within the permissions of the standard group. This behavior has been fixed: Access to dynamic attributes can now be granted in conjunction with access to a form.

Bug Fix: Cancellation Logic for Recurring Invoices Adjusted

An error occurred when canceling a recurring invoice; this has been fixed.

Bug fix: Added a message for text-type dynamic characteristics when the text is too long

When filling out a characteristic, you are now notified that the entered text is too long. The length is also checked when saving.

Bug fix: "AllowInactiveUser" configuration value removed

Users of the FM Portal can be marked as "inactive" via the personnel list. They will then no longer be able to log in to the FM Portal. The configuration parameter "AllowInactiveUser" was intended to allow inactive users to log in. We have removed this configuration parameter. Users who have been marked as "inactive" cannot log in to the FM Portal.

Bug fix: Size of selection fields from dynamic fields can be adjusted

You have the option to adjust the size of selection fields. This feature was missing for selection fields created from dynamic fields. We have now extended the ability to adjust the size to include dynamic fields as well.

Bug fix: Changes to the service list are now saved

The service list can be filtered according to your preferences, such as by service type or service status. Previously, these settings were lost after logging out and logging back in.

Bug fix: Client change no longer possible with read-only access

When using multi-client functionality, the "Change Client" button could be clicked even if users only had read-only access to a record. Additionally, a different client could then be assigned. This bug has been fixed.

Bug fix: "Cleanup Tasks" timer job corrected

An error occurred in the "Cleanup Tasks" timer job. It removed not only inactive sessions but also active ones. The error has been corrected.

Bug fix: Issue with accessing data related to workflow permissions resolved

There were previously issues accessing data related to workflow permissions. It was not possible to open a record from lists of records whose parent record contained a workflow (invoice items from incoming and outgoing invoices / order items, etc.), even if you had the necessary rights in the workflow to open the parent record. You can now open a contract value from the list of contract values as usual.

Bug Fix: Deep Link Functionality Revised

When you send a specific location in your FM Portal via a deep link, the people who open this link must first log in to the FM Portal if they are not already logged in. This sometimes caused an issue where, after being prompted to log in, the portal’s home page opened instead of the linked location. We have now resolved this issue. Even after logging in, the deep link still leads to the desired location.

Bug fix: Traffic light color corrected

In the Control Panel, in the "Workflow Commissioning" table, there was an incorrect display in a traffic light view: Although the text message displayed a yellow warning, the traffic light showed red. This behavior has been fixed.

Bug fix: Permissions retained when changing passwords

When manually changing a password in the personnel record that did not comply with password policies, all entries under "Assignment to User Groups" were cleared. This issue has been resolved. Password changes are now performed via a pop-up window.

Bug fix: Display of locked records revised

(Customer reference: INC000006624381)

The "Locked Records" list temporarily stores all entries from all lists that are currently locked for editing by users. The "Locked until" column has been updated to include a date. Each new lock entry causes the outdated locks to be removed. The "Cleanup Tasks" timer job can also be enabled to perform regular cleanup if the portal is used irregularly.

Bug Fix: Maximum Password Length Increased

Multi-line text input fields for password entry can now be configured via eTASK. The maximum password length has been increased.

Improvement: Record lock is not released when clicking "New" within the record

Clicking the "New" button always opens a new tab in the portal, while the previous one remains open, regardless of whether you are in a form or viewing a list. In this process, the record from which the new record is opened remains locked. From now on, the portal always reacts the same way, regardless of where the new record originates.

Improvement: Logging: No entry if client rights are missing

Previously, if a user lacked client permissions, an error regarding this was written to the application log with every login attempt. Since this is not an error, this behavior has been removed.

Improvement: Further work on accessibility according to BITBV 2.0

We have made further improvements to the accessibility of the FM Portal. With this release, we have taken further important steps toward improving the accessibility of our FM Portal: All informational graphics in your FM Portal now have meaningful alternative text. In addition, all visual identifiers are now correctly linked to their elements and, where applicable, also marked as belonging to other elements on the page. As a result, a larger portion of the FM portal is now accessible via a screen reader. With this release, we have further advanced the optimization of the entire FM portal for keyboard navigation. A large portion of the FM portal is now accessible via keyboard navigation. Improvements have been made to several BITV 2.0 criteria, such as:

  • Form element labels can be programmatically determined

  • Text can be enlarged to 200%

  • Data tables structured correctly

  • Consistent order during keyboard navigation

  • Groups are recognizable by screen readers

  • Alternative text for controls

Improvement: Automatic assignment of recurring payment incoming invoices by payment date implemented

For users of payment transactions in Property Management, it is necessary for items in the account statement to be automatically assigned to incoming invoices that originate from a recurring liability and can be associated with the payment date within ±5 days. 

This change applies not only to future postings but is also applied retroactively to all unassigned bank items.

Improvement: Default for the department code changed

The department code no longer needs to be unique across the entire portal. This means that even in larger organizations, uniform department codes can be used for different organizational units if they have been designed consistently across all organizational units.

Improvement: Client filters now also available in the object search

You can use your eTASK.FM portal with different logical clients. Certain data in your portal is then displayed only for the selected client. This now also applies to the object search. In the filters available there, only the data that matches the selected client is displayed for selection. In the list of found objects, only those objects that match the selected client are included.

Improvement: Unique fields can no longer be changed via bulk editing

In your eTASK.FM portal, there are some fields that are defined as "unique," such as barcodes or serial numbers. Such values must not occur twice; all barcodes must be unique. To ensure that unique fields remain unique, they are excluded from bulk editing in this release. You can still modify them via the individual record, but they are no longer displayed in bulk editing and can no longer be changed there.

You have the option to deactivate objects and elements related to your properties in your FM portal. From now on, deactivated elements will no longer be displayed in either the Object Explorer or the Property Explorer. You can still view your deactivated elements in the object list or the property cadastre if you have the necessary permissions to view deactivated elements.

Improvement: Expansion of free catalog values from 50 to 100 characters in length

Free catalogs can be used to provide editable and expandable selection lists for dynamic attributes, which can themselves be supplemented by type-specific attributes. To use the catalog, a dynamic attribute must be defined with the selection field definition "Selection list from free catalog." The field length when maintaining values within the free catalog has been changed from 50 to 100 characters.

Improvement: Traffic Light/Report View for comparing maintenance contracts and work order schedules

The "Monitor Maintenance Contracts" feature allows users to compare entered maintenance contracts with the created maintenance plans. This ensures that every maintenance contract has an active counterpart in the plan. Feedback is provided in the form of a color-coded status indicator (traffic light) with additional information on the plan and/or status. The list view can be found under Technical Building Management - Maintenance - Reports.

Improvement: Improvement for using the software with a screen reader

In tables, the checkboxes were not read by the screen reader because they were implemented using background graphics. This affected the checkboxes for selecting individual rows and the checkbox in the table header for selecting all rows. Checkboxes in submenus that displayed a selection were also implemented as background graphics and were therefore not detectable by the screen reader. This has been revised to further improve accessibility.

Improvement: Clients now also in property service areas

You can use your eTASK.FM portal with different logical clients. Certain data in your portal is then displayed only for the selected client. This now also applies to the service areas of objects. In the filters available there, you will only see data for selection that matches the selected client.

With the release of the next module for the My eTASK App, it is now both possible and necessary to assign permissions to the individual modules within the app.

This works by selecting "Rights to My eTASK App Modules" in the "Rights Group" section of the Control Panel, where you specify which of the available modules should be displayed to a user of the app with this rights group.
