Important Notes
Users of the eTASK app for Windows
With the release of this update, a current version of the eTASK app has also been released in the Microsoft Store. Please note that this current app version is compatible exclusively with the current release version of the portal; that is, both the portal AND all connected mobile devices must be updated.
Therefore, please update your mobile devices only if you also plan to update your portal to the current release at the same time. If this is not desired or possible, please disable the automatic installation of updates for the eTASK app on your devices. Please note, however, that after a previous update of your portal, your devices must also be updated to the current app version.
Please make sure to sync your mobile devices before the update.
Users of the eTASK Add-in for Revit
With the release of this update, a current version of the eTASK Add-in has been made available in the Customer Center. Please update your eTASK Add-in for Revit to the latest version.
!! Starting with the July 2024 release, we will discontinue support for Revit versions 2019 and 2020. If you have any questions regarding this, please contact your account manager at Projektteam@etask.de.
eTASK.BIM
New Feature: The eTASK.Revit Add-in is now also available for Revit 2024
With the eTASK add-in for Revit, you can prepare your BIM models in Revit for import into the eTASK.FM portal. With this release, you can now also use the eTASK.Revit add-in for the latest version of Revit.

eTASK.Operator Responsibility Suite
Bug fix: Error when using REG-IS functions
You can connect REG-IS in your eTASK.FM portal. An error occurred in step 5, "REG-IS Update Based on eTASK Data," which prevented the use of this function. We have now resolved this issue for you, so you can use your REG-IS interface as usual again.
eTASK.Operating Cost Settlement
Bug Fix: Error when calling up tenant invoice for operating costs resolved
The eTASK.FM portal allows you to generate tenant invoices for your operating cost statements. A problem had occurred that prevented the invoice from being generated. We have resolved this issue for you. You can now once again create tenant invoices for your operating cost statements as usual.

eTASK.Cost Entry
New feature: Active and passive accruals
Items on outgoing invoices now allow you to accrue the item starting from a specific date for a number of months. The necessary G/L accounts for the accrual can be specified at the company level. This allows invoice revenue to be distributed over several months.
New feature: Open accounts receivable as of a specific date
With this release, we have made the new report "Open Items (Date)" available to you under Property Management - Property Accounting/Cost Entry - Accounts Receivable. With this report, you can select which companies should be included in the report as usual. Additionally, you have the option to specify a past date, which allows you to view the open items as of that specific date. This enables you to track the reliability of your accounts receivable over a longer period of time.

Bug Fix: Incorrect Display of Transfer Postings in Payment Allocation
Minor transfers intended to clear cent amounts as open items for customers were briefly and incorrectly displayed as open items in payment allocation. We have fixed this issue for you.

Bug fix: Cancellation of incoming invoices now possible again
There were temporary issues with canceling incoming invoices, particularly when entering the reason for cancellation. We have fixed this issue for you. You can now cancel invoices as usual.

Bug Fix: Error when copying invoices fixed
There was an error when copying invoices. We have fixed this for you, so you can use all invoice-related functions as usual again.
Bug fix: Documents for cost items are displayed correctly
In the operating cost statement, documents were displayed incorrectly: All documents were shown instead of only those assigned to the selected item. This issue has been resolved.

Bug fix: Posting of partial payments is possible again
An error has been fixed that prevented partial payments from being posted because the necessary interface element could not be accessed.

Bug fix: Display of outgoing invoices and open items
An outgoing invoice with a negative value was incorrectly displayed with a duplicate value in the list of open items or in the list of outgoing invoices. We have fixed this error.

Bug fix: Transferring an invoice to a payment run before the due date
When paying your incoming invoices, you have the option to use "Payment run before due date" to ensure that the payment is transferred to the bank before the due date is reached. An error occurred here. If a payment run was scheduled for the due date, the payment was included in that run. We have corrected this. Invoices for which this option is enabled are transferred to a payment run that occurs before the due date.

Improvement: Accrual of Outgoing Invoice Items in Closed Months
It is no longer possible to post an accrual for a month that has already been closed. This prevents the accidental posting of accruals to closed months.
eTASK.Rental
Bug fix: Error in the calculation of index adjustments
In your eTASK.FM portal, you have the option to automatically adjust lease agreements based on an index. Problems occurred during the calculation of these adjustments. We have fixed this error. All index adjustments are now calculated correctly again.

Bug Fix: Rescheduling of bookings is possible again
An error message appeared when rescheduling bookings. This has been fixed.
eTASK.Maintenance
Improvement: Rejected orders in maintenance plan and acceptance control report
In the "Maintenance Plan" and "Acceptance Inspection" reports, orders that were rejected by the client and not issued are now displayed in a separate category. This makes both reports more meaningful for contractors.

eTASK.FM Portal
New Feature: Advanced Management and Use of Communication Data
(Customer reference: CAFMBT-97)
We have added the ability to store any number of contact details to the "Companies/Addresses" and "Positions" forms. Additionally, we have created the "Communication" master list based on this data. You can find it under Basic Data - Employee Management. There, you can centrally access all stored communication data and generate individual phone books.
Bug Fix: Overwriting Values in Selection Fields
If a dropdown field in a record already contained a value and an attempt was made to overwrite that value, an error occurred when entering a new value. The first two letters entered were deleted, requiring the word to be re-entered. We have now fixed this issue. Dropdown fields can now be overwritten as usual.

Bug fix: Timeout error when retrieving REG-IS data fixed
Previously, timeout errors sometimes occurred when retrieving REG-IS data via the API. We have now optimized the retrieval process so that this problem should no longer occur.

Bug fix: Deep links now lead to the correct location after login
When using deep links to a specific form in your FM portal, the following issue sometimes occurred: If you send a deep link to a specific location in your FM portal, users who open the link must first log in to the FM portal if they are not already logged in. This sometimes caused an issue where, after the required login, the portal’s home page opened instead of the linked location. We have now fixed this issue. Even after logging in, the deep link still leads to the desired location.
Bug Fix: Fixed an error when importing room height
There was an issue with importing rooms via Excel. The "Room Height" field could not be imported because the data type was not recognized correctly. We have now fixed this issue. You can import your rooms again as usual using Excel.

Bug Fix: Further bug fix regarding the use of selection fields
Issues have resurfaced when deselecting values in dropdown fields that are interdependent. For example, if you first select a building and then a floor based on that selection, problems occurred when you subsequently deselected the parent dropdown field for the building.
We have fixed this issue for you. You can now use all selection fields as usual and successfully clear the values in all fields.
Bug Fix: Issue with Importing Selection Values from Custom Catalogs
When importing selection values from custom catalogs, a problem occurred if there were selection values with the same name across two or more catalogs. Now, the system ensures that there are no identical selection values within each catalog. Selection values with the same name in different catalogs can now be imported.

Bug fix: Fixed an issue with logging in via Microsoft Entra ID
For some users, logging in via Microsoft Entra ID (Azure SAML) did not work if they had not set a value for a session end time. We have now fixed this issue. During login, the system checks whether a session end time has been entered. If no session end time has been entered, the default value is automatically set. If a session end time has already been entered, it is not changed.

Bug Fix: Paid invoices can no longer be disputed
Previously, under certain circumstances, it was possible to cancel an invoice that had already been paid. This caused issues in the workflow. We have now resolved this issue. Invoices that have already been paid can no longer be canceled.
Bug fix: Incorrect password entry: Now displays a detailed error message again
Previously, when an incorrect password was entered, the corresponding error message was displayed only briefly or not at all and was then replaced by the general message "Login was unsuccessful. Please try again!" Now, the specific error message "Your account has been locked due to multiple incorrect login attempts. Please try again after 30 minutes, or contact an administrator" is displayed again.

Bug Fix: Fixed an error during the import of dynamic attributes
(Customer Reference: CAFMCAB-169)
When using the Excel import, dynamic fields are checked to ensure they are unique. This check was incorrectly performed across all catalogs. With this release, the check is performed only for the catalog in which the dynamic attribute is defined.

Bug Fix: Record Archive: More Reliable Recording of the Person Who Created a Record
For every record in your FM portal, the "System" section stores who created the record. In rare cases, if the relevant user could not be determined, the user who had last used this function was entered instead. We have now fixed this so that the correct user is always entered.
Bug Fix: Improved Handling of Proxies and Deactivated Users in the Contract Management Workflow
The "Contract Management" workflow now handles active representatives and deactivated users more effectively. Previously, this could sometimes lead to an endless loop of escalations during the role verification process. We have now made this step more robust so that the workflow runs reliably.

Bug fix: Selection fields with deactivated values
Deactivated values may be displayed in a selection field. Previously, this caused the field to appear empty when opening a record, even though a deactivated value was stored. Deactivated values are now displayed as usual again.

Improvement: Workflow roles are no longer assigned to deactivated users
With this release, the system automatically prevents workflow roles from being assigned to deactivated users.

Improvement: Switching room occupancy between fixed and flexible
In room occupancy, you can now also change the occupancy type between fixed and flexible when planning a move. Previously, moves were only possible within a single occupancy type. This gives you even more options to customize and manage your moves.
Improvement: Property Explorer: Display of locations without buildings
In your FM portal, you can manage locations that are not assigned to buildings or floors, but rather to additional hierarchies. We have now updated the Property Explorer so that these locations are loaded along with their hierarchies and can be viewed.

Improvement: Improvement in the application log

All events related to logins in the FM Portal are written to the application log. Previously, if a user manually canceled a login via SAML, this event was classified as "Error." We have now changed this and display the event as "Debug."

Improvement: Improvement to the "Delete Locations" function in Portal Control
In Portal Control, you have the option to delete locations from your FM Portal. We have improved this process for you with this release. Depending on the location, associated buildings, floors, and rooms are also deleted. If, while deleting locations, you encounter data that you believe should also have been deleted, please feel free to contact our support team.

Improvement: Improved Use of the Swagger Documentation for the eTASK.API
In our Swagger documentation for the eTASK.API, the browser freezes when expanding certain endpoints. We have now resolved this issue for some endpoints. Unfortunately, we have not yet achieved this for all endpoints.

Improvement: Excel Export: Support for Custom Column Order
(Customer reference: CAFMBT-264)
In your tables on the eTASK.FM portal, you can sort the columns as you wish. When exporting the table as an Excel file, the data is output in the customized column order. This now also applies to dynamic attributes.

Improvement: New Design in Portal Control
We have redesigned the portal control to make it more modern and user-friendly. Here, you can configure global settings for your portal as usual and retrieve information about your portal.

Improvement: "Room Occupancy" report now includes workstation groups
The "Room Occupancy" report has been updated to include workstation groups. If a workstation is part of a workstation group, it is displayed as occupied. This means it is not available for permanent use as a fixed workstation. This is now visible in the report.
Improvement: Workflow Implementation - Error in Report Fixed
The "Workflow Commissioning" evaluation now better recognizes whether a role is dynamically or statically assigned and responds accordingly with different notifications and traffic light indicators. The evaluation is located under System Control - MyFM - Configuration Services/Workflows - Workflow Commissioning.

Improvement: External links always open in a new tab
(Customer reference: CAFMBT-305)
You have the option to add external links in various places within your eTASK.FM portal. We have now decided that these links will always open in a new browser tab. Otherwise, some browsers refuse to open these embedded links. With this change, we ensure that all your external links can always be opened.
Improvement: Improvements to keyboard navigation
As part of our efforts to improve the accessibility of our eTASK.FM portal, we have enhanced keyboard navigation in our forms and search function. In forms, you can now navigate to and expand or collapse individual sections using the keyboard. This allows you to navigate through the form more quickly using the keyboard. Additionally, the navigation focus now follows the heading of the form sections. There is a context menu for individual tabs in your tab bar. This can now also be accessed and controlled via the keyboard. Finally, we have improved the tab order in the forms. It now follows the logical structure of the forms.
Improvement: Workflow Delegation: Now Allows a Maximum of 200 Characters
You can designate substitutes for your workflow responsibilities. With very long names, a problem arose where the maximum allowed number of characters for this field was exceeded, leading to issues when moving to the next workflow step involving the substitute. Therefore, we have now increased the character limit for this field to 200.

Improvement: All tables now feature horizontal scrolling
All tables in your eTASK.FM portal can now be scrolled horizontally if they exceed the width of the screen.

Improvement: Improvement when deleting a personnel record
Previously, if a user had defined a personalized view as their default, issues arose when deleting the associated personnel record. We have now improved this process for you. The setting for the personalized view is also deleted when the personnel record is deleted. However, the personalized view itself remains and is still visible to other users, provided it has been published.

Improvement: Simplified implementation of the Content Security Policy (CSP)
The Content Security Policy protects your web applications from various attacks, such as cross-site scripting. You also have the option to protect your eTASK.FM portal using the Content Security Policy. To do so, simply use the configuration parameters CONTENTSECURITYPOLICY and CONTENTSECURITYPOLICYAKTIV to enable CSP for your FM portal.
Improvement: Deleting buildings
When deleting buildings, data from Data Controlling is now automatically removed from the system. Conflicts between these data sets are now a thing of the past.
Improvement: Keyboard Shortcuts
The display of available commands for global keyboard navigation has been improved. You can open this list by pressing "Ctrl + Shift + F1".
Improvement: Long names for worksheets in Excel export
When you export data from your FM portal to Excel, worksheet names are now automatically truncated to the 31 characters allowed by Excel. This means that even with long names, the corresponding error message no longer appears in Excel.

Support Information: Discontinuation of the "Workstation Utilization" report
The "Workstation Utilization" report could no longer be updated with the latest data and will no longer be available with this release. As a replacement, the "Room Occupancy" report is available under Basic Data - Employee Management - Workstations.
Highlight: Create Excel export template (Excel report)
With this release, you can configure custom Excel reports for all your tables and lists.
To do this, first configure and filter your table as you would like it to appear in the Excel report. You can then export the customized list as an Excel export report. This creates a custom report. To edit this custom report, you need the appropriate permissions for the menu item in the System Settings. Additionally, permissions must be assigned to the list for which the Excel export report is to be created.
In the Custom Report section of the Control Panel, you can specify which groups should have access to the export report. Download the Excel report there and customize it according to your needs.
The Excel file contains a sheet with the exported data. Based on this data, various analyses can be created in a new sheet. It is important to specify "Data" as the data range to reference all columns and rows of the first sheet. If the report is subsequently exported with a different number of rows, all data will still be included.
You can design all other sheets as desired with headers and footers, analyses, and various modifications. Then upload the customized Excel file to your Individual Report. Be sure to delete the existing report first, as only one file can be uploaded per dataset.
The report will then be available for download in the corresponding list. It contains the configured evaluations and customizations and can therefore always be used with the most up-to-date data.
eTASK.Key Management
New Feature: Management of Minimum Stock Levels
(Customer reference: CAFMCAB-36)
With this release, you can define for key and cylinder groups whether there should be a minimum stock of these keys or cylinders and what that minimum should be. Additionally, we have created an evaluation for each group that uses a traffic light system to indicate whether the minimum stock is being maintained.
eTASK.Inventory
Bug Fix: Synchronization Error with Match Codes in Inventory App
When using the Inventory App, there was occasionally an issue where newly added matchcodes could not be transferred from the app to the connected FM portal. We have fixed this issue. All data can now be transferred from the app to the portal as usual.

Improvement: Deactivated objects in the "Inventoried Assets" dashboard tile
The "Inventoried Assets" tile on your dashboard no longer includes deactivated objects. This gives you a quicker overview of the inventory status of your active objects.

Improvement: Deactivated objects in inventory reports
We have improved how deactivated objects are handled in some reports within our inventory management system. Deactivated objects are now either no longer displayed or are marked as deactivated in the report. This applies to the following reports:
