Checking Permissions
Do you have permission to book the room? If you lack permission, contact the room manager.
If you want to book for someone else:
Are you set up as a substitute? Is the substitute function properly configured for the user (= substitute), and has the person being substituted for granted approval to the booker? (In the substituted person’s Outlook under File – Info – Account Settings) Minimum settings can be found in the screenshots:
Are you using the correct calendar for the booking? Do not start the booking from your own calendar, but from the calendar of the person you are covering.
Default settings by admin / system settings
Is the room already booked? Choose a different room or time slot.
Is the room locked by the room administrator? The room may be locked for booking during the desired time period, e.g., because renovation work is taking place there during a specific time frame. Or the room may not be available for booking via Outlook at all. In this case, contact the room manager (if you cannot identify the room manager, contact the support hotline listed in the FM Portal).
Do you want to book an exclusive room? Exclusive rooms can only be booked by room managers. Contact the room manager. The list of room managers will be displayed when you try to book the exclusive room.
Are time slots preset? Weekends/holidays: It is possible that the room is not available for booking on weekends or holidays. In this case, contact the room manager (if you cannot identify the room manager, contact the support hotline listed in the FM Portal). Too short notice: How far in advance of the meeting are you booking? If the time until the scheduled meeting is short, the booking deadline has likely passed. Date too far in the future: If the date is very far in the future, it is likely that the booking window has closed. This booking window depends on a parameter that can only be changed by administrators, not by end users. In this case, the user should try booking again at a later time.
Recurring appointment booking: It is currently not possible to book recurring appointments via Outlook. Please book the appointments individually.
Have you set your filters correctly?
Resource filter: The room list shows only those rooms where the resources are available. If the combination of resources is not possible, deselect the resources and replace those not available in the room, e.g., with mobile resources available to you.
Location filter: There may be no rooms available at this location that meet the desired criteria. Narrow down the other criteria or book at a different location.
Number of participants: If you expect enough participants to cancel so that the capacity will be sufficient after all, disable the “Determine automatically” option. This allows you to adjust the capacity manually. You can find more information here: 📄 Teilnehmeranzahl manuell angeben IC1299
Catering option: The selected location or desired room may not offer catering. Switch to a different location or room, or forgo catering.
If you wish to request catering for the room, please contact the room manager.
Recommendation: If the message indicates an error in the program, record the message (e.g., by taking a screenshot) and contact eTASK.
Note: Proxy booking is currently not available in a different time zone.
