You can manage your contracts in the FM Portal without using the workflow from eTASK Contract Management. The paid workflow handles reminders for contract-related deadlines, such as termination dates or follow-up dates, on your behalf.

How it works
Contracts that are in the resubmission queue are displayed in the 📄 Die Serviceliste IC1224 .
If the contract end date is exceeded without any action being taken, the contract becomes inactive, i.e., it cannot be edited.
When a new contract is created, the assigned responsibility is verified. Additionally, the system checks whether the combination of contract type and contract category already exists in the system. If the combination does not exist, it is created when the contract is created.
Notifications
The workflow enables, for example, the automated resubmission of contracts. When the resubmission date is reached, an email is sent to the recipient group (role: Contract Manager).
The recipient group can be defined for each contract type.
If a person is added to the group of contract administrators, all other persons within the group are notified via email.
There are three types of reminders:
If the resubmission deadline is reached, a single reminder email is sent, stating the reason for resubmission.
If a contract’s termination date is approaching, a daily reminder email is sent to the responsible group for 14 days. If the termination date is exceeded, email notifications stop once an action has been taken on the contract.
If a custom contract event with a reminder date has been added to the contract, a daily reminder is sent until a response is received.
