If no order types or escalation rules have been defined yet, you can create them yourself. The tolerance times you specify for processing the individual workflow steps determine the dates shown in the deadline overview (Execution Deadline) in the maintenance order.

Open the corresponding order.
Click on the Edit icon in the Relevant Dates / Process Control section behind the Order Type/Time Control attribute. A new record opens.
Enter a code and a description that indicate the trigger interval. In the example, the interval is two months. Therefore, enter "2-MONTH" in the Code field and "Execute every 2 months" in the Description field.
Also, in the Control section of the Info area, select the checkboxes for "Escalation Check Active" and "Escalation Check Static."
Tip: "Escalation Check Active" controls whether an escalation process is triggered for all orders or tasks of this order type. This means that the system reports a deadline violation upon acceptance and/or completion of the order. The escalation process consists of automatically sending notification and reminder emails to the service provider.
Tip: "Static escalation check" controls whether the calculation of the times for sending reminder emails is performed statically for all orders or tasks with this order type. Three dates are checked: "Order acceptance by," "Execution by," and "Acceptance by."
Click Save.
Note: An order type can be used for all orders that are to receive the same escalation settings at the same time period when the order is triggered before work begins. As a rule, there is one order type for each trigger interval, since the organizational workflow and the work processes are the same. Therefore, assign a code and description that allow you to identify the intended trigger interval, e.g., “1-MONTH” as the code and “monthly execution” as the description.
In the taskbar, click Tools > Create Tolerance Times (empty) for all job types
Confirm your command by clicking Yes.
For our example, we suggest tolerance times according to the following table:
Create three permission groups with the following settings (
Control Panel - Portal Options - Rights Management - Groups and Rights).
Note: To make the following settings, you must have permissions in the portal administration. If this is not the case, contact the responsible administrator to make the settings for you.
