Anyone who is to log in to the portal must be registered in the employee list. If you do not want to import your employee data via an interface or register an external person (service provider/external employee), create a new entry.

Procedure in the FM Portal

Path to the starting point: Basic Data – Employee List

Either go to the employee list and create a new record by clicking “New” in the toolbar, or click “New” next to the person selection field in another form.

Note: Among the required fields, the email address is particularly important. Be sure to enter a valid email address so that the new user can change or reset their password at any time. When new employees are added to the employee list via an interface, it is sufficient to verify the existing data. Either go to the employee list and create a new record by clicking “New” in the toolbar, or click “New” in another form next to the person selection field.

  1. Enter a unique employee ID and fill out at least the remaining required fields, such as the employee ID, contact information, organizational affiliation, or additional fields like company car information.

  2. Click “Save” in the toolbar.

  3. In the “FM Portal Login Credentials” section, set a username for the user. This will be requested along with the password during login.

    Tip: Popular usernames are combinations of last and first names, sometimes abbreviated. Additionally, the employee ID or another identifier already in use within the company is often used. The only restriction when assigning a username is that it must be unique. If you use domain-based login, the username must match the one in the domain. In this case, it is recommended to import the username via the HR interface, which is likely available.

  4. Click "Save" in the toolbar.

The person has been created in the system and appears in all selection fields where people are selected.

Note: Only system administrators can designate other users as system administrators.
