The eTASK.FM portal includes a budget management component that enables the annual planning and management of project budgets.

Budget projects form the core of budget management. There, you specify a maximum budget for a project. You can assign any number of budget items to the budget project. Finally, you have the option to plan and track the budget for a budget item on an annual basis.

Example: You want to renovate a building (“Main Street 1”) over the years 2020 and 2021. You have a budget of €500,000 available. Your first step is to create a budget project named “Building Renovation Main Street 1” and enter the planned maximum budget. The work will involve renovating the facade, the heating system, and the roof. Since you want to plan these elements separately and track the costs separately as well, you create a budget item for each element: “Facade Renovation,” “Heating System Renovation,” and “Roof Renovation.”
You have now obtained quotes for the roof renovation and selected one that is expected to cost €100,000. The renovation is scheduled to take place over the winter, so the work will span two years. To reflect this, create two annual budgets. Assign one to the year 2020 and enter €30,000 as the planned budget. The other is assigned to 2021 and receives the remaining amount of €70,000 as the planned budget. A similar planning process is also carried out for the other budget items.

In various FM modules, you ultimately have the option to post amounts to an annual budget. This is the case, for example, with maintenance orders (eTASK.Maintenance) and FM purchase orders (eTASK.FM-Procurement). Alternatively, costs that have already been incurred can be entered into the annual budget. Other links, such as the assignment of contracts with their contract values, contribute to the estimated costs. The planned, estimated, and actual amounts can be tracked in the annual budget and are additionally totaled in the budget item and the budget project.

Example: The roof renovation is in full swing. You have signed contracts with construction companies, and invoices are coming in. You enter the contracts into the FM portal and assign the corresponding contract values. In the project budget, the contract values are totaled and displayed as estimated costs. You enter the invoices into eTASK.Cost Entry and assign the amounts to the corresponding budget items. These amounts are displayed in the budget project as actual costs.

Finally, numerous reports support you in budget planning and budget control.
