Basic data for rental agreements

If you want to create a lease agreement without having to switch to other tables or forms in the meantime, or if you do not have administrative rights, certain basic data must be available beforehand. These are listed in this article.

  • Company: A customer is always associated with a company. You need the company to create a customer (Basic Data - Companies & Addresses).

  • Customer: A tenant is always also a customer, since they pay rent to the rental company. To enable payment tracking and to create a tenant, a customer must exist. This can be created in a single step along with the tenant record.

  • Tenant: A lease agreement is always assigned to a tenant. Create a tenant and assign the created customer to them. 📄 Vermietung IC2358

Note: If you create a lease agreement and the company, customer, and tenant are not yet stored in the system, click New to the right of the Tenant selection field. This allows you to create this data in a single step and assign it directly to the lease agreement.

  • Company: Lease agreements are assigned to companies in cases where a user manages lease agreements for multiple companies (System Settings - Basic Data - Basic Information - Companies).

  • Rooms: Create the rented rooms before you create a lease agreement (Portfolio (BIM) - Property Register - Rooms).

  • Open spaces: If you are leasing open spaces as part of the lease agreement, these must exist before the agreement is created.

Note: The rent for open spaces can be determined as a flat rate per unit or based on the size of the area (System Settings - Portfolio (BIM) - Property Register - Open Spaces - Outdoor Area Types).

  • Contract Type: To document the contract type, records for contract types are required. Before creating the lease agreement, ensure that the desired contract type exists (System Settings - Property Management - Leasing - Contract Types for Lease Agreements).
