Use generic mail variables

Email variables are placeholders that can be used in emails sent by the system. For example, the email variable $$costCenter$$ can be used in an email sent from the room reservation workflow to specify the cost center for the respective booking. The email is sent when a workflow step is reached and, because an email template with variables has been created, contains the information determined by the variable.

In contrast to these predefined mail variables, it is also possible to use so-called generic mail variables. These are created by combining a table name and a field name.

In the System Settings under Available Email Variables, you will find all generic email variables that are available based on the workflows used in your organization.

Note: Some variables can be used for all workflows, while others apply only to specific workflows.

Example: If you want to display the location from the Contracts form in a workflow email for the contract workflow, your variable is:

$$VD_TAB_VERTRAEGE.VERTRAG_STANORT_ID$$

Prerequisites

  • You have permissions in the System Control Panel

Procedure in the FM Portal

Path to the starting point: System Control - MyFM - Configuration Services/Workflows - Available Email Variables

  1. Select the appropriate entry in the Variable column based on the workflow.

  2. Insert the variable into your email template.

Note: The table name must be entered in uppercase.
