To use the Training Management workflow, the functions must first be created and assigned to specific users.
The workflow consists of the following steps:
"Planning"
"Participants Invited"
"Appointment Reminder"
"Training completed"
"Cancellation"
As long as the training session is in "Planning," it can be viewed in the participant schedule. This means participants can be added.
If participants have been invited and some cancel, you can return from the "Participants invited" status back to "Planning" using the "Add to planning" button so that the training session becomes available in the schedule again.
"Invite Participants" is disabled if more participants are planned than the maximum capacity allows. Participant cancellations are taken into account in this calculation.
"Appointment Reminder" is a system step that is reached when no reminder has ever been sent for this training, the "Appointment Reminder" option has been selected for the training, and only the specified number of days remain until the start of the training.
A training session can only be canceled with a reason and if none of the participants have the "Attended" status.
Participants are notified of invitations and cancellations via email and receive the reminder if this was previously configured.
The instructor is notified of invitations and cancellations.
