This data object manages information on workflow representatives who can represent other people in certain processes. It enables the definition of substitution rights, including the period and scope of the substitution. The object is central to the organization of substitutions in business processes and supports the continuity of workflows when employees are absent. Substitutes can be defined by all users in the user profile or by administrators at this point.
Identification
This area contains key information for the unique identification and configuration of workflow substitutions. The persons involved, the validity periods and the activity status of the substitution are defined here.| Property | Description |
| Represented | Selection of the person to be represented in a workflow. |
| Representative | Selection of the person who is to take over the representation. |
| Valid from | Enter the date from which the substitute is allowed to process workflow tickets. |
| valid until | Enter the date until which the substitute should be able to process tickets for you. If you do not enter a date, the substitution is valid until further notice. |
| Active representation | Specify here whether the substitution should be active or passive. With a passive substitution (no checkmark), the substitute will also be able to see and edit all your tickets in their service list under "Observed services". If you select active substitution, the substitute will receive the tickets instead of you and will find them under "My tasks" in the service list. The substitute will no longer receive these tickets. |
