Set up status mail for room reservations

In eTASK.Room Reservation, you can set up a daily status email that lists all room bookings for the current day, along with detailed information about the resources and catering services booked for each one.

The email is automatically sent to the room managers, catering managers, and resource managers.

Procedure in the FM Portal

Path to the starting point: System Control - Portal Options - Portal Administration - Timer Jobs - Job Management

  1. Open the timer job RE Daily Overview of Bookings Emails.

  2. Check the "Active" checkbox.

  3. In the "Time Control" section, define the time at which the email should be sent.

  4. Set the interval to 1440 minutes (=daily).

  1. Click Save.

  2. Open the GL_MAIL_Queue timer job.

  3. Check the Active checkbox.

  4. If you want the job to run hourly as recommended, set the interval to 60 minutes.

  5. Click Save.

Note: Every room manager, catering manager, and resource manager will receive the email as long as there is at least one event on that day in which they are involved.

You have now set up the status email for room reservations.
