OpenStreetMap is a free, global map used in the eTASK FM portal to visualize your buildings and locations. The map displays properties with red pins and provides a clear geographical overview of your portfolio.
Where can I find the map feature?
After successful setup, you will find the map feature in two places:
Portfolio Map - Overview map of all buildings
Navigation: Portfolio (BIM) > Portfolio Map
Building Map View - Individual view per building
In the respective building form under "Map View"
Step-by-step setup guide
Step 1: Create a MapBox account
OpenStreetMap requires a free MapBox account to display the maps.
Open the website: https://www.mapbox.com/signup/
Register using your company email address.
Confirm your email address via the link in the confirmation email.
Log in to the MapBox dashboard.
Step 2: Retrieve the access token
After logging in, you’ll need an “access token” to use the maps.
Click on Access Tokens in the MapBox dashboard.
Copy the default public token (starts with `pk.`)
Save the token temporarily in a text file.
Alternative: Create your own token
You can also create your own token:
Click on Create a token.
Give it a name such as "eTASK-Portal"
Select the permissions:
styles:read
fonts:read
Click on Create token.
Step 3: Save the access token in eTASK
The access token must now be configured in your eTASK FM portal. You need administrator rights to do this.
Log in to the eTASK portal as an administrator.
Navigate to: Control Panel > Portal Options > Portal Configuration
Open the configuration parameter MAPBOX_ACCESS_TOKEN. Enter the token from the registration in the Configuration Value field.
Click Save in the toolbar. Close the configuration parameter.
Open the MAPQUEST_APP_KEY configuration parameter. Enter the token from the registration in the Configuration Value field.
Click Save in the toolbar. Close the configuration parameter.
If you want to customize the map display, open the configuration parameters MAPBOX_MAP_ID and MAPBOX_STYLE. MapBox offers several pre-configured display options. Here you can choose which one you want to use and set it as the configuration value accordingly.
If you use eTASK.Serviceticket: When creating a service ticket, you have the option to specify an outdoor area. This is determined via location detection. If this is disabled or does not work for any reason, a predefined default location is displayed. You can specify this default location in the SELECTOR_FALLBACK configuration parameter. The location is stored in JSON format. For more information, see the configuration note.
Click Save.
Step 4: Maintain building addresses and coordinates
For your buildings to appear on the map, they must have address data and coordinates.
Enter complete addresses
Open a building form
Make sure the following fields are filled out:
Street and house number
Zip code
City
Save the building
When you enter a complete address, the system automatically determines the geographic coordinates (longitude and latitude). This is called "geocoding."
Manually correct coordinates (if necessary)
If the automatically determined coordinates are inaccurate, you can adjust them manually:
Open the building form
Go to the Map View section.
Click the cross button in the top right corner (Reset coordinates).
Enter the correct coordinates:
**Latitude**: e.g., `50.9375`
**Longitude**: e.g., `6.9603`
Save the building.
Tip: You can also find coordinates using Google Maps:
Search for your building's address
Right-click on the location → What’s here?
The coordinates are displayed at the bottom and can be copied.
Step 5: Set up permissions
To allow users to view the Portfolio Map, they must be assigned the appropriate permissions.
Navigate to: Control Panel > User Management > Roles
Select the desired role (e.g., "FM Management")
Search for the "Portfolio Map" permission.
Check the box for Read access.
Save the changes.
Note: Without the appropriate permissions, the "Portfolio Map" menu item will not be visible to users. Ensure that all relevant roles have the necessary permissions.
Step 6: Test the feature
Once setup is complete, you should test the map feature:
Test Portfolio Map
Log in as an authorized user
Navigate to: Portfolio (BIM) > Portfolio Map
The map should load and display all buildings with red pins
Click on a pin to view building information
Test the building map view
Open any building form
Go to the "Map View" section
The building should be marked with a pin on the map
Check interaction functions
Zoom: Mouse wheel or +/- buttons
Move: Hold down the left mouse button and drag
Rotate: Hold down the right mouse button and drag
Switch view: Button in the top left (Map ↔ Satellite)
Once setup is complete, you can systematically go through the portfolio and ensure that all buildings have complete addresses.
