Roles in the eTASK.relocation management workflow

The assignment of roles in the eTASK.Umzugsmanagement workflow depends on your company’s specific structure. The following provides a brief overview of the roles’ functions as recommended by best practices.

Client

The client creates a move request via MyFM - Request a Move and fills in only the data they know. They are not responsible for planning. After the technical planning phase, they review the planning results and approve the move for execution.

Coordinator

The coordinator reviews the client’s requests. If they deem the move unfeasible, they can cancel it. If the move is to proceed, the coordinator forwards the order to the detailed planner.

Detail Planner

The detailed planner determines which people, assets, and communication data are involved in the move and who or what is to be moved where. They enter the collected information into the eTASK system via the move planning assistant so that all parties involved can be automatically informed about the fully planned move.

Specialist Planner

The specialist planner checks whether the IT specialists, telephone specialists, furniture movers, and key managers have completed the relocation planning for their respective areas and, if necessary, updates the plan via the relocation planning assistant when receiving feedback from the specialists. He then forwards the relocation to the coordinator, thereby notifying him that the relocation planning is complete.

Participants

The participants are the people moving from a starting location to a destination. They are added to the workflow when the detailed planner assigns the people moving to the move.

IT Specialists

The IT specialists handle the technical planning for IT assets that are being moved. During the move, they are responsible for ensuring that the IT assets are installed and operational at the destination.

Telephone specialists

Telephone specialists are responsible for managing communication data during the move. During the move, they connect the communication system, set up call forwarding if necessary, configure new phone numbers, and ensure that the participants can communicate as usual after the move.

Furniture Movers

Furniture movers handle the planning and relocation of furniture as part of a moving assignment. They are responsible for ensuring that the furniture is assembled and ready for use at the destination.

Key manager

As part of a move, those involved must return keys and receive new ones. It is the key manager’s job to determine who receives and must return which keys, as well as to distribute and collect these keys.
