Report key as destroyed

These instructions outline the steps for reporting a key as destroyed in the FM Portal.

Prerequisite

The key record already exists

Procedure in the FM Portal

Path to the starting point: Infrastructure Building Management - Security / Keys - Keys

1. Open the record for the key you want to report as destroyed.

2. In the Key Status section, change the status to VN | Destroyed.

3. Remove the information stored in the Issued To and Storage sections.

4. In the Destruction section, enter the destruction date, and in the Key Destroyed by field, enter the name of the person responsible for destroying the key.

5. Click Save in the toolbar.

6. Click Reports in the toolbar and select Destruction Log. A PDF file containing the key’s data will be generated. Verify that the key and person data imported from the FM Portal in the document are correct and up to date. If not, update the data.

7. Fill out the log and save it.

In the Documents section, click Select Files and select the destruction log. Then click Upload.

The key is now marked as destroyed. The destruction log is stored with the key and can be downloaded and viewed at any time.
