July 2018 Release

This release has been approved by eTASK for use in production environments. You can download the release now and install it on your server. Please read the following notes carefully before installation:

Important Note for Users of eTASK.PropertyManagement, eTASK.Rental, eTASK.CostRecording, and eTASK.OperatingCosts

As announced in the GoBD workshop, this release is only suitable for customers who have already completed the migration from the eTASK.FM client to the eTASK.FM portal. If you have not yet completed this migration, please refrain from installing this update.

"Workstations" dashboard tile

Paid feature: New dashboard tile for evaluating workstations

The tile evaluates the occupancy of "configured" workstations, i.e., those workstations that are actually created as records in a room and can be assigned to people. Furthermore, the theoretically configurable workstations are displayed, including potential workstations in meeting rooms (DIN 277 usage type 2.3). The latter are shown separately so that potential capacities from the meeting rooms can be taken into account in planning.

eTASK.Demand Planning

New Feature: Better Overview for Planning by Personnel Functions in Demand Planning

With the new view report "Number of Rooms and People per Job Function," the number of planned people per job function, the required number of rooms, and the room type are displayed in an overview.

eTASK.BIM

Improvement: Consideration of the "Phase" when importing a Revit model into the eTASK Add-In

When publishing a BIM model from the eTASK Add-In for Revit, you can now select which phase should be considered during publication. The selection of the phase directly affects which model content is transferred to the eTASK Portal.

Highlight: Visual Workplace Management in the BIM Model

The visual representation of workstations is standard practice in facility management, but has generally not been sufficiently addressed in BIM—which is heavily driven by planning and construction—since a workstation is not a physical component of the building (and thus not a geometric object). eTASK has now expanded BIM functionality to include the representation of workstations in the model, thereby unlocking another significant benefit for BIM visualization in real estate operations. For modeling workstations in the BIM architecture tool, eTASK provides corresponding libraries (currently, for example, "Revit Families" for Autodesk Revit). This allows workstations to be created in the model and makes them automatically available for integration into facility management processes when the model is imported into eTASK. Using corresponding labels, information about the workstation and/or its occupancy can be displayed in the model. The graphical representation of the workstation also makes it possible to visually depict certain requirements of the Workplace Ordinance (ArbStättV), e.g., regarding the "movement area" and the "arrangement of workstations."

eTASK.Resource Booking

Improvement: Automatic adjustment of start and end times in resource booking

When selecting the booking period, the start and end times of the booking are now linked. For example, if the end time of a booking from 2:00 PM to 3:00 PM is moved up to 1:00 PM, the start time is automatically set to 12:00 PM.

eTASK.Operator Responsibility Suite

New feature: New "Site Operation Concept" – Centralized order planning for the entire site

Order planning for the implementation of maintenance measures can now also be based on a "site operation concept." When using this operational concept, all objects to which the relevant measure applies are automatically consolidated into a single order plan for the entire site. The previous option of consolidating by building is thus expanded to include a higher-level consolidation. When viewed at the site level, this can significantly reduce the number of work plans and, consequently, the number of work orders.

eTASK.Payment Transactions

Improvement: "Transfer anyway" if the payment amount is greater than the credit amount

For cases where the payment amount is greater than the credit amount, the payment run has been expanded to include the "Transfer anyway" function. This allows you to decide on a case-by-case basis whether it is an error (e.g., incorrect payment assignment) that needs to be corrected or whether the payment is actually intended.

"Area Statistics" dashboard tile

Bug fix: Correct calculation of values at all hierarchy levels

A calculation error caused incorrect displays on some hierarchy levels. The error has been fixed.

eTASK.FM Procurement

Improvement: Enhancements to the "Order Status" view report

The "Order Status" view report has been expanded to include various pieces of information and now also displays the order number, order text, notes, and the current status of the order. The order can be accessed directly via the order number.

eTASK.Vehicle Booking

New Feature: New Calendar for Vehicle Bookings

A new "Vehicle Reservation Calendar" is now available in the menu under MyFM, allowing you to conveniently view the bookings for all your pool vehicles. If all vehicles are already booked for the desired booking period, the calendar shows which time slots still have vehicles available. The calendar helps administrators intervene in the booking situation if necessary, e.g., if a specific vehicle is needed and a user’s booking must therefore be canceled. For this purpose, the user’s contact information is already displayed in the calendar, and direct access to the booking is possible.

eTASK.Operating Cost Accounting

Improvement: Settlement with monthly cost analysis

In the "Settlement" function within "Operating Cost Settlement," the evaluation of costs and allocation keys per month has been added.

eTASK.Cost Entry

New feature: Transfer of payment assignments and opening balances

In addition to invoices, payment assignments and opening balances for vendors and customers can now also be transferred.

New feature: Easy search for previous items when creating a partial service

When creating partial services for an incoming invoice, you can now use a search field to find a specific item when selecting "Items from the vendor’s most recent invoices."

Improvement: Removal of the restriction on account classes in the general ledger for incoming and outgoing invoices

For the items of incoming and outgoing invoices, all G/L accounts can now be selected, regardless of the account class.

eTASK.Rental

New feature: Calculation of base rent using a factor

Calculating the base rent using a factor is now also possible in lease management within the portal.

eTASK.Maintenance

Improvement: Property selection in the Property Explorer when using additional hierarchy levels

In the Property Explorer, which is used to select properties in a work order or work order planning, properties can now be selected even when one or more additional hierarchy levels—such as a region or district—are used beyond the standard hierarchy of location, building, floor, and room. Up to three additional hierarchy levels can be used beyond the location.

eTASK.FM Portal

Improvement: Central importance of construction projects for defect management and requirements planning

The role of "construction projects" in eTASK has been expanded so that they are now used not only for defect management but also for demand planning for new buildings. Due to their central importance, you can now find the buildings under the "Basic Data" menu item.

Improvement: Standardized export for "Document Field 1" in the Datev export

In the Datev export, the month is now consistently exported to "Document Field 1" for both accounts receivable and payments.
