This release has been approved by eTASK for use in production environments. You can download the release now and install it on your server.

Please read the following notes carefully before installation:


Important note for users of the eTASK app for Windows 8.1/10:

With the release of this version, an updated version of the eTASK app was simultaneously released in the Microsoft Store. Please note that this latest app version is compatible exclusively with the current release version of the portal; that is, both the portal AND all connected mobile devices must be updated.

Therefore, please update your mobile devices only if you also plan to update your portal to the current release at the same time. If this is not desired or possible, please disable the automatic installation of updates for the eTASK app on your devices.

Please note, however, that after a previous update to your portal, you must subsequently update your devices to the latest app version as well.


Important note for users of the eTASK Service Ticket product

After installing this release, it is essential that you reinstall your Service Ticket workflow as a plugin in the portal. You can download the plugin for your Service Ticket workflow from the Customer Center store. Then install the plugin file under "Control Panel / Portal Options / Plugins/Licenses / Install Plugin." eTASK.Tradesman Portal Suite

Improvement: Closure and Marking of Orders Deleted in SAP

Orders that have already been imported from SAP into eTASK but have since been marked as deleted in SAP are automatically set to status 10 "Close" in the order workflow of the Tradesman Portal and labeled with the note "Order deleted in SAP."


eTASK.Operator Responsibility Suite

New Feature: Duplicating Operator Concepts Including Dependencies

An operator concept can now be duplicated along with all relevant dependencies. Unlike the existing copy function, duplicating preserves the links for "Assigned Measures," "Rules for Object Assignment," "Specifications for Clients," etc. If a new operator concept needs to be created that is virtually identical in content to an existing one, this new feature significantly simplifies the process.


eTASK.Payment Transactions

New Feature: "Payment Run Approval" Report Now Available in Two Versions

You can now access the "Payment Run Approval" report in two versions. The original version, sorted by bank, is available as the "Payment Run Approval by Bank" version. Additionally, you can use the new "Payment Run Approval by Company" version. Both reports can be accessed within the payment run form via the "Reports" button.

New Feature: New Reports for Evaluating Bank Transfers in a Payment Run

To evaluate which transfers are included in a payment run and whether they were successfully transmitted to the bank, three new reports are available:Variant 1) "All transfers in the payment run"Variant 2) "Transferred transfers in the payment run"Variant 3) "Non-transferred transfers in the payment run"The reports can be accessed within the payment run form via the "Reports" button.

Bug Fix: Even extensive bank statements are now imported in full

With very large account statements (e.g., at the beginning of the month), not all transactions were assigned due to a system-defined time limit. The assignment process has now been technically revised so that importing large account statements no longer results in a timeout.

Bug fix: "Payment Run Release" reports: Removed dependency on BIC entry for display

For the display of transfers in the "Payment Run Release" reports ("Bank" and "Company"), the BIC check when calling the report has been removed. This means that a BIC no longer needs to be stored in the bank data for the bank’s transfers to be displayed in the report. The "BIC" attribute has also been renamed to "BIC for International Transfers" and is no longer a required field.

Improvement: Ensuring the correct assignment of bank statement items for late payments

A bank statement item is only automatically assigned to an outgoing invoice if the value date month matches the invoice month. This prevents late payments from being automatically assigned to the subsequent recurring outgoing invoice.


eTASK.Outlook room booking

Improvement: Change to the automatic connection check between eTASK and Exchange

The automatic check and disconnection of a meeting room in eTASK from the room mailbox in Exchange has been disabled.Background: If eTASK was unable to establish the connection between the meeting room and the associated room mailbox in Exchange—for example, because the stored Exchange user no longer had the necessary Exchange permissions—the meeting room’s Exchange connection was automatically deactivated (checkbox “Booking in Exchange Server enabled”). However, this also occurred if, for example, the Exchange server was temporarily unavailable. The connection then had to be reestablished manually.Solution: If the connection between the eTASK meeting room and the associated room mailbox in Exchange cannot be established, the "Booking in Exchange Server enabled" checkbox remains selected. This allows for a temporary outage of the Exchange server to be bridged. However, if the connection is actually permanently interrupted—for example, because the stored Exchange user no longer has the necessary Exchange permissions—manual intervention by the administrator is required.


eTASK.FM Procurement

New Feature: Multiple Document Uploads Possible in a Single Form

Multiple sections for document uploads can now be inserted into a single form. Since permissions can be assigned to document uploads, this allows you, for example, to make the documents in one upload available only to internal users and to store the documents for external users in a separate upload. This feature has already been configured in the "Order" form. If you need this feature elsewhere, please contact your eTASK representative or the sales department.


eTASK.Assets (Package)

Improvement: Use of the "ID" from CAFM-Connect as the "Asset Number" in eTASK

When importing objects from CAFM-Connect 2.0, the CC value "Identifier" of an object in eTASK is transferred to the "Asset Number" field. This makes the identifier from CAFM-Connect part of the "Asset Total Code" and enables the object to be uniquely identified within the asset structure in eTASK.

Improvement: All important information about an object can be output in the printable "Object Data Sheet"

The object data sheet now contains all relevant information about an object. In addition to technical data, the component hierarchy, and photo documentation, all maintenance orders, service tickets, warranties, and the "Object Timeline" related to the object are now displayed in a structured format. The printable report thus contains all relevant information about the object, e.g., for handover to a service provider or a buyer of the property.


eTASK.Area Calculation

Improvement: Improved display in the area billing profile "PR02"

In the billing profile "PR02 - Complex with apportionments to residents," the building cost center is now always displayed for each billing line, regardless of how the relevant area or area share is actually billed.


eTASK.Cost Entry

Bug fix: Cancellation is once again possible in the "Outgoing Invoice" workflow

Under certain conditions, cancellation was not possible in the outgoing invoice workflow. The workflow conditions have been adjusted so that cancellation is now possible again in all intended steps.

Bug fix: FM Client: Verification of incoming invoices with recurring obligations now possible again

If the "Recurring Invoice" attribute was set when entering incoming invoices in the FM Client, the "Verify" function could not be executed. The issue has been resolved, so that verification is once again possible for recurring invoices.


eTASK.Rental

Improvement: Tenant account statement now includes outgoing invoices and partial payments

The "Tenant Account Statement" report now also lists outgoing invoices to the tenant as well as any partial payments made by the tenant, thus providing a complete overview of all transactions with the tenant.


eTASK.CAD

Bug fix: Calling up records in CAD (Client) and editing in the portal is possible again

Using the CAD tools in the eTASK.FM client, it is once again possible to select multiple objects in Aperture and start data maintenance for these objects. The corresponding table in the portal now opens again with a filter applied to the objects previously selected in the FM client. Previously, starting data maintenance caused an "infinite loading" loop in the portal.


eTASK.Service Ticket

Bug fix: Displaying the correct department for a different requester

In the service ticket report, the long department name of the different requester is now displayed, rather than the requester’s long department name as before.

Improvement: New print report "Number of Service Tickets per Category"

The report displays the total number of service tickets by category as a bar chart. When the report is opened, various filtering options are available for the time period, the categories to be included, and the buildings to be considered.

Highlight: New management function for monitoring service levels

For the management of your service processes, the eTASK.Service-Ticket product now offers a completely new reporting section that allows you to evaluate and monitor compliance with your individual service levels for each type of service offered. The evaluation distinguishes between response times and processing times. Using "traffic light charts," you can get an at-a-glance overview of your service performance. The additional detailed display of target times and instances where times are exceeded or not met also enables the specific identification of potential deviations from agreed-upon service levels. The display also takes individual factors into account, such as the "delivery date" for certain services like a "material order." For example, if a processing time of 2 business days is specified for this type of service, but an item cannot be delivered until 5 business days later, the processing time of the actual ticket is not exceeded. Important: The reports are not person-specific and therefore do not require prior approval by the works council. Here’s how to use this feature: To utilize the new reporting capabilities, you must define the service levels for your individual service categories in the system once. We’d be happy to assist you with the setup. Just contact us.


eTASK.Maintenance

New Feature: Automatic Email Notifications for Escalated Orders

The client’s responsible coordinator(s) will now be automatically notified once a day about escalated maintenance orders within their area of responsibility. The affected orders are listed in a structured format in an email. Each order can also be accessed and edited via a direct link from the email. Note: To use this feature, it must first be activated in your eTASK portal. Please contact eTASK Support regarding this.

New Feature: Order Overview Report Now Available as a Dynamic View with Excel Export

Under "Technical Building Management / Maintenance / Operator Responsibility Checkpoints / 4. Execution / Order Overview (tabular)," you will now find the "Order Overview" print report as a dynamic view titled "Order Overview (tabular)." The view contains the same data as the report but offers you advanced filtering options and, of course, an optimized Excel export.

Improvement: New filtering options in the Order Overview report

The "Technical Building Management / Maintenance / Operator Responsibility Checkpoints / 4. Execution / Order Overview" report has been expanded to include two filters:1) In addition to the responsible company, the report can now be filtered to show only the relevant group within that company.2) When calling up the report, the "Property/Asset Manager" can be selected so that only orders from their area of responsibility are displayed.

Improvement: Clear separation of manual and automatic comments in the order

The maintenance order form has been expanded to include an additional comment section for “operational remarks.” This makes it easier to distinguish users’ manual comments on this order from automatically generated comments (e.g., upon step change or escalation). The additional comment section has also been incorporated into the “Order Overview” report. The report now displays comments from both sections.

Improvement: Email notification upon rejection of orders already marked as completed

If a maintenance order that has already been marked as completed is rejected (i.e., a change from the "Check" step back to the "Dispatch" step), a corresponding email notification is now generated and sent to the person responsible for execution.


eTASK.FM Portal

New Feature: New View for Chronological Analysis of Budget Projects

The view displays the planned costs and actual costs (from incoming invoices) for each month and measure within an annual budget. To ensure a complete chronological overview, dummy months with €0.00 are automatically created for months without planned or actual costs.

Bug fixes

Correction of various minor bugs and optimizations in various eTASK products.

Improvement: Additional addresses for companies / Dynamic address management

Any number of additional addresses can now be stored for a company. An address type (e.g., home address or billing address) is assigned to an additional address, which determines where in eTASK the address is used as the default. For example, the billing address is automatically used in outgoing invoices. This dynamic preselection can also be manually changed by the user. Important: If you would like to learn more about this new address management feature, please contact your eTASK representative. The feature has no effect on your existing address data, meaning you only need to take action if you wish to use this feature.

Improvement: Transparent display of loading times under "Extras"

When performing an action under the "Extras" menu item in the "Toolbar," the message "Loading" is now displayed during loading times. This provides the user with feedback from the system that the action is still in progress. Why do loading times occur at all? Depending on the complexity of an action, loading times can vary significantly. For example, if the action involves a query to an external system (e.g., SAP), the loading time cannot be influenced by eTASK. Actions within eTASK, on the other hand, are generally associated with a short loading time.

Highlight: Comprehensive display of planned and unplanned costs for objects

eTASK now offers you the ability to transparently display the actual costs for a property (based on incoming invoices). When breaking down the costs, the system automatically distinguishes between planned and unplanned costs for a property. The costs are displayed via two different views and determined via the following process chains:1. Planned costs: Invoice receipt for contract -> Contract is based on order -> Order contains object -> Costs relate to the object2. Unplanned CostsInvoice received for purchase order -> Purchase order belongs to work order -> Work order contains object -> Costs relate to the objectWhen using the eTASK.Maintenance product in conjunction with the eTASK.CostRecording product, planned costs for objects can be evaluated without additional data maintenance. If the eTASK.FM-Procurement product is also used, unplanned costs can be mapped as well.
