June 2020 Release

This release has been approved by eTASK for use in production environments. You can download the release now and install it on your server.

Change in System Requirements

eTASK has not supported SQL Server versions 2008 R2 and 2012 for some time now. This release has now been secured in such a way that it can no longer be run on either of these SQL Server versions. This is for data security purposes, as we use features from newer SQL Server versions that would cause the update to fail. If you have any questions, please contact eTASK Support or your project manager.

Important Notes

Starting with this version, eTASK installations will require a valid SSL certificate and TLS 1.2. If your eTASK portal is still running via an HTTP:// connection, please provide a valid certificate in a timely manner and adjust the configuration accordingly. Our support team is available to assist you with any questions.

This explicitly does NOT apply to customers using eTASK.CAD, which is based on a .NET Framework for which Microsoft no longer supports the mandatory TLS 1.2.

Do you still use eTASK.CAD? Please feel free to contact us to discuss a strategy for migrating to eTASK.BIM.

Users of eTASK.PropertyManagement, eTASK.Rental, eTASK.CostRecording, and eTASK.OperatingCosts
As announced in the GoBD workshop, this release is only suitable for customers who have already completed the migration from the eTASK.FM client to the eTASK.FM portal. If you have not yet completed this migration, please refrain from installing this update.

Users of the eTASK App for Autodesk Revit

With the release of this update, a current version of the eTASK App for Autodesk Revit has also been made available in the download section of the Customer Center. Please note that BIM models can only be published using the latest version of the app. Please update your app in a timely manner.

Users of Revit Version 19 require a hotfix to Revit 2019.2, regardless of the eTASK app.

Users of the eTASK App for Windows
: With the release of this update, a current version of the eTASK App has also been released in the Microsoft Store. Please note that this current app version is compatible exclusively with the current release version of the portal; that is, both the portal AND all connected mobile devices must be updated.

The latest version 2020.2.537.50581 of the eTASK app will be available in the Microsoft Store starting June 13, 2020.

Therefore, please update your mobile devices only if you also plan to update your portal to the latest release at the same time. If this is not desired or possible, please disable the automatic installation of updates for the eTASK app on your devices. Please note, however, that after updating your portal, you must subsequently update your devices to the latest app version as well.

Please make sure to sync your mobile devices before the update.

eTASK.eRechnung

Improvement: Additional notes for sending invoices with e-invoicing

Invoice dispatch for outgoing invoices has been adapted to the requirements for e-invoicing. To this end, a series of notes have been added to the invoice that are displayed for the sending company and the receiving customer when e-invoicing is active, if the invoice is only displayed as a preview outside the standard workflow and cannot be sent as an invoice.

Workflow: Payment Run Approval

Highlight: Approval of payments before transmission to the bank

With this new workflow, the payment run goes through an approval process before being transmitted to the bank(s). Multiple parallel approvers can be set up, regardless of the bank. The payment run is only transmitted to the bank after approval has been granted by all defined approvers.

eTASK.BIM

Improvement: Optimized "Information Requests" report in the BIM Profile

In the BIM Profiles form (System Control - Portfolio (BIM) - BIM Information Management), a report can be accessed that outputs the information entered for the BIM profile as a printable document, e.g., as an attachment to a Client Information Request (CIR). The report has been expanded to include additional information and graphically optimized.

Improvement: Standardization of the building structure for object types in the profile

In the BIM Profiles, the object type tree is now sorted in ascending order by code, as is the case throughout the rest of the portal.

Improvement: Transfer of work items in eTASK.BIM

When exporting BIM models using the Revit add-in, workplaces are now transferred via the IFC element "IfcAnnotation." Conversely, when importing IFC BIM models from any source, workplaces are automatically processed as the "eTASK.Workplace" type if they are transferred from the source system via the IFC element "IfcAnnotation."

Workplaces were previously transferred as "BuildingElementProxy," along with many other building components. Consequently, workplaces could not be shown or hidden separately in the eTASK BIM Explorer, but only in combination with all other building components transferred via the IFC element "BuildingElementProxy."

Extended HSE organization with coordinator level

Bug fix: Display of email addresses in the building distribution list of the emergency contact and representative list

The "Emergency Contact and Designated Representative List" (Basic Data - HSE Functions and Designated Representatives) offers a feature that allows you to retrieve the email addresses of all persons assigned to a room in a selected building. This "building distribution list" was sometimes displayed as empty, despite assigned persons. The display has been corrected.

eTASK.Handwerkerportal Suite

Improvement: Changing unit prices with surcharges

The display and transfer of unit prices and their percentage surcharges in the Tradesman Portal have been expanded so that three decimal places are always processed. This prevents rounding differences between the various uses of unit prices in the Tradesman Portal.

Improvement: Specify custom invoice numbers for partial invoices

When a partial invoice is submitted, a unique invoice number can now be specified for each submission. Previously, the same invoice number was always used. Additionally, with each partial invoice, an invoice sheet with the specified invoice number is uploaded to the "External Documents" section and can be viewed there.

Improvement: More precise rounding of values in the billing sheet and during transfer to SAP

The values on the order’s billing sheet and the transfer of the total gross amount to SAP are now rounded to the third decimal place to achieve greater accuracy.

Workflow for the City of Cologne’s Building Management Trades Portal

Improvement: House number added to the order email

The subject line of the order email sent to a tradesperson now includes the house number in addition to the street name. This is important when multiple properties are located on the same street and can only be distinguished by their house numbers.

eTASK.MyApp/Inventory

Improvement: Better performance when synchronizing large amounts of data

Synchronization between the portal and the WinApp/Inventory has been further optimized and accelerated for data sets exceeding 70,000 properties. Only 500 properties are now synchronized per synchronization block, thereby reducing the load on the device’s RAM.

eTASK.Payment Transactions

Improvement: Conversion of message versions for SEPA files

Payment transactions in eTASK now support the SEPA formats PAIN.001.001.03 in accordance with specifications 3.0 and 3.1 of the German Banking Industry Committee.

eTASK.SmartReservation Suite

Bug fix: Schedule conflicts with resource bookings via Outlook

Under certain circumstances, when modifying a room booking with resources in the eTASK Outlook Add-in, resource appointments could overlap with other bookings. This behavior has been fixed.

eTASK Support Hotline

Support Information: New "eTASK Support Center" Replaces the Previous "Infocenter"

All help links in the portal now point to the new eTASK Support Center, which you can also access outside the portal at https://support.etask.de. The new, centralized Support Center replaces the previous local Infocenter, which was delivered to the customer’s server with every installation. This reduces the size of the update files as well as the setup. The Support Center always provides you with the most up-to-date help articles, even for customers whose portal has not yet been updated to the latest eTASK version. We will also gradually expand the content of the Support Center to offer you further helpful information regarding the use of your eTASK products.

eTASK.Anlagen (Package)

New Feature: CAFM-Connect Export Directly from the Object List

CAFM-Connect exports can now also be generated directly from the property list. Only the properties filtered by the user are transferred to CAFM-Connect. The export also offers the option to choose whether to generate a single file for all properties of the selected objects or a separate file for each property. Furthermore, it is possible to export documents related to location, building, floor, room, and object (in accordance with CAFM-Connect 3.0).

eTASK.Cost Recording

Bug Fix: Correct Email Forwarding for Mailboxes with Alias Addresses

Due to a change in the forwarding of emails from a mailbox to a configured alias address, invoices are no longer automatically assigned to the company associated with the alias, but only to the main company. Email processing has been adapted to the new procedure so that emails are forwarded to the assigned company even when an alias is used.

Improvement: Scheduled dispatch date for verified invoices

When invoices that have been reviewed are transferred to cost accounting, the user has the option to specify the scheduled send date for email delivery. Since not every customer must necessarily be enabled for email delivery, the scheduled send date is not a required field. However, if the send date is not specified, all generated invoices are designated for paper delivery. If a date is entered, however, it is only set for invoices where the customer has been enabled for email delivery. Since the planned dispatch date cannot be declared a required field for the reasons mentioned above, the tooltips have been expanded to inform the user of the consequences of entering or not entering the date.

eTASK.Fleet Management

New Feature: Extensive Enhancements Available in Vehicle Management

Fleet management has been extensively expanded and now offers many additional options for recording and analyzing data related to fleet management. In addition to the enhancements in the vehicle form itself, many new master data tables are available for logbooks, fuel receipts, fuel cards, events, tires, vehicle costs, accessories, traffic violations, etc.

eTASK.Maintenance

New feature: Create follow-up orders for maintenance tasks

The maintenance workflow has been expanded to include the ability to directly trigger a follow-up order. The follow-up order is assigned to the original order, ensuring that the connection between them is always traceable. This allows, for example, additional work arising during routine maintenance to be commissioned as a separate order. The underlying maintenance ticket can then be closed independently of the follow-up order.

eTASK.FM Portal

New Feature: Variable Field Validation for All Text Fields ("Regular Expressions")

Any text fields can now be checked for compliance with a specified formatting when entering content. These so-called "regular expressions"—i.e., character strings that follow a specified syntax—ensure that, for example, phone numbers, ZIP codes, or license plate numbers can only be entered in a specified format. Using license plate numbers as an example, the following may be entered:

  • 1 to 3 uppercase letters in position 1

  • Space

  • 1 to 2 uppercase letters in position 3

  • Space

  • 1 to 4 digits in position 5

  • H or E in position 6, with a maximum of 3 digits in position 5

  • Total length no more than 10 characters, including spaces

The field value validation can be formatted almost arbitrarily for all text fields in eTASK and delivered as a custom solution within a plug-in. Please contact your eTASK representative if needed.

New Feature: New "Master List of People" View

In the new "Master List of People" view (found under "Basic Data - Employee Management"), comprehensive data about a person as well as information associated with that person regarding cost centers, department, room assignment, onboarding, etc., is displayed in a single list. The view serves as a "data canvas" from which relevant information can be filtered and, for example, exported to Excel for further processing.

Bug Fix: Display of Required Fields Still to Be Filled in the Workflow When Switching Steps

If step-dependent required fields are defined in a workflow, these fields—provided they are not filled in—are prompted in a pop-up when switching steps. The size of the pop-up has now been adjusted so that all required fields that still need to be filled in are visible in full.

Improvement: Improved searchability of entries in the data record archive

In the data record archive on each form as well as in the central data record archive (System Settings - Portal Options - Portal Administration - Data Record Archive), all new entries are now created using the "plain name" of the menu item instead of its technical name. Changes to rooms, for example, are no longer stored under "FL_RAUM_T" but under "Rooms."

Improvement: New fonts available in text input fields

In all text input fields where content can be formatted, the fonts Arial, Calibri, Courier New, Tahoma, Times New Roman, and Verdana are now available.

Support Information: Change in System Requirements

For new portal installations, SQL Server versions 2008 R2 and 2012 have not been supported for some time. With this update, both versions are no longer recognized as valid system environments from a technical standpoint and can therefore no longer be used in existing systems. You can find our current system requirements at: https://www.etask.de/kontaktservice/downloads-links/
