April 2020 Release

This release has been approved by eTASK for use in production environments. You can download the release now and install it on your server.

Important Note on Secure Connections and SSL

Starting with one of the next versions, eTASK installations will require a valid SSL certificate and TLS 1.2. If your eTASK portal is still running with an HTTP:// connection, please provide a valid certificate in a timely manner and adjust the configuration accordingly. Our support team is available to assist you with any questions.

This explicitly does NOT apply to customers using eTASK.CAD, which is based on a .NET Framework for which Microsoft no longer supports the mandatory TLS 1.2.

Do you still use eTASK.CAD? Please feel free to contact us to discuss a strategy for migrating to eTASK.BIM.

Important Note for Users of eTASK.PropertyManagement, eTASK.Rental, eTASK.CostRecording, and eTASK.OperatingCosts

As announced in the GoBD workshop, this release is only suitable for customers who have already completed the transition from the eTASK.FM client to the eTASK.FM portal. If you have not yet completed this migration, please do not install this update.

Important notice for users of the eTASK app for Autodesk Revit

With the release of this update, a current version of the eTASK App for Autodesk Revit has also been made available in the download section of the Customer Center. Please note that BIM models can only be published using the latest version of the app. Please update your app in a timely manner.

Users of Revit version 19 require a hotfix to Revit 2019.2, regardless of the eTASK app.

Important note for users of the eTASK app for Windows

With the release of this update, a current version of the eTASK app has also been released in the Microsoft Store. Please note that this current app version is compatible exclusively with the current release version of the portal; that is, both the portal AND all connected mobile devices must be updated.

The latest version 2020.1.530.49325 of the eTASK app will be available in the Microsoft Store starting March 28, 2020.

Therefore, please update your mobile devices only if you also plan to update your portal to the latest release at the same time. If this is not desired or possible, please disable the automatic installation of updates for the eTASK app on your devices. Please note, however, that after updating your portal, you must subsequently update your devices to the latest app version as well.

Please make sure to sync your mobile devices before the update.

eTASK.eRechnung

Highlight: New module for processing and generating electronic incoming and outgoing invoices

The new "eTASK.eRechnung" module enables the processing and generation of electronic incoming and outgoing invoices in the standardized formats "ZUGFeRD" and "XRechnung." When processing electronic incoming invoices, the system automatically checks which of the two formats the invoice was generated in. For outgoing invoices, the format preferred by each customer can be specified.

eTASK.eRechnung meets both national requirements for electronic invoice transmission and the requirements of the European standard EN 16931-1. The e-invoice essentially consists of two parts: a visual representation of the invoice in PDF/A-3 format, and the invoice data contained therein as machine-readable, structured data in XML format.

Are you interested in using the new module for your eTASK portal? Then please contact your personal eTASK representative or eTASK Sales at sales@etask.de.

Dashboard Tile "Parking Space Utilization"

New Feature: Dashboard Tile for Parking Space Management

The new dashboard tile provides an overview of the percentage utilization rate of available parking spaces. When calculating utilization, the system evaluates both the number of available parking spaces and the "parking authorizations" assigned to the parking area.

eTASK Parking Management

Highlight: Efficient management of parking spaces in eTASK

Parking spaces are in short supply at most companies. The granting of parking permits to employees is therefore often subject to extensive evaluation criteria and approval processes. For the efficient management of parking areas, eTASK now offers extensive new functions for the management of "parking spaces" (in the menu under "Portfolio (BIM) - Property Cadastre - Open Spaces - Parking Spaces"). This allows parking permissions to be granted to employees for parking areas and/or individual parking spaces, authorizing them to use the parking area or space. A workflow is available for requesting and granting parking permissions. If more requests for parking permissions are submitted than there are parking spaces available, the requests are placed on a "waiting list." Views can be used to transparently manage parking area utilization as well as the waiting list.

Service homepage with service tiles

Highlight: Easier use of services via graphical "service tiles"

As a browser-based platform, eTASK offers users extensive options for mapping automated processes via workflows. However, a comprehensive range of workflows can quickly become confusing for the end user. To facilitate easy access to the various eTASK workflows, a central "Service Home Page" can now be activated in the portal. On this home page, you can offer your users "service tiles"—customizable in both content and appearance—for the services available in your portal. Clicking a tile starts the underlying workflow. Unlike when calling up a workflow via the menu under "MyFM - Order Services," the user does not have to decide which type of workflow to start (e.g., service ticket, book resource, desk sharing) but instead selects the tile that best matches the nature of their request.

Multiple tiles can also lead to the same workflow. Here, the tiles offer the advantage that clicking them can trigger an action that, for example, directly hides or displays certain fields when the workflow form is opened, makes them required fields, or pre-fills them with content.

You can set the Service Home Page as the home page for your FM portal or integrate it as an iframe into your company’s existing external service offerings, such as the intranet or website. If you are interested in using the service homepage and service tiles for your eTASK portal, please contact your eTASK representative or eTASK Sales at sales@etask.de.

Invoice Receipt Workflow Basic

Improvement: New workflow step for approving invoices that have already been paid

The workflow has been expanded to include an additional step that ensures invoices are approved even if they have already been paid in parallel. This is necessary because otherwise no journal entry would be generated.

eTASK.BIM

Improvement: New report providing an overview of all colors for BIM visualization

Did you know that you can specify the color in which a component is colored in a specific view? For example, you can define a color based on DIN 277 usage type or cost center, and all components with this attribute will then be colored accordingly. Color values are defined in the respective base data table, such as the cost center list. An overview of all available color values is provided by the report, which you can find in the menu under "Control Panel - Portfolio (BIM) - BIMexplorer Configuration - Color Overview."

Improvement: Navigate directly to the room in the BIM model using the visualization magnifying glass

You can now directly open the BIM model using the magnifying glass in the room form as well as on the room in the Property Explorer. The model opens in 2D view, with the room visually highlighted in the model.

Expanded HSE organization with coordinator level

New feature: New report "Training Status of Employees with Basic Functions"

As an extended version of the "Training Status with HSE Role" report, the new report provides additional information on the representative’s participation history, such as "(current) employee department," "HSE role of the training," and "employee’s actual room."

Premium Invoice Receipt Workflow

Improvement: New workflow step for approving invoices that have already been paid

The workflow has been expanded to include an additional step that ensures invoices are submitted for approval even if they have already been paid in parallel. This is necessary because otherwise no journal entry would be generated.

eTASK.Payment Transactions

Improvement: Support for Global Payment Plus when exporting the payment run

The export (download) of payment files in the eTASK payment run has been expanded to support Commerzbank’s “Global Payment Plus.” This expansion also meets the specific requirements of Global Payment Plus regarding “bulk payments.”

eTASK.Operating Cost Settlement

Improvement: Electronic invoice dispatch for operating cost statements

If email dispatch is enabled for a customer and the date for email dispatch is set, all outgoing invoices based on operating cost statements for this customer are now automatically sent via email. If these two settings are not configured for the customer, the operating cost statement is assumed to be sent in paper form.

eTASK.Cost Entry

Bug Fix: Display of the Changed Payment Due Date on Outgoing Invoices

When the payment term of an outgoing invoice was changed, the newly specified payment term was not displayed as the "payment date" on the invoice printout under certain conditions. The error has been fixed.

Improvement: The Accounts Receivable Balance view now also includes transfer postings

The "Accounts Receivable Balance" view (in the menu under "Property Management - Property Accounting/Cost Entry - Accounts Receivable") now also takes into account transfers for outgoing invoices and rent statements, e.g., when a credit from a tenant’s operating cost statement was applied to their rent arrears.

Improvement: Unique numbers for accounts receivable, accounts payable, and general ledger accounts

When creating a customer number, a vendor number, or a general ledger account, the system now checks for uniqueness of the number across all tables. For example, a customer cannot be created with a number that may already be in use for a general ledger account, as this is not permitted during transfer to financial accounting.

eTASK.Rental

Bug Fix: Correct Calculation of Escalation Dates When Changing the Escalated Rent

In some cases, the graduated rent dates were not recalculated correctly when the graduated rent was changed. The error has been fixed.

Improvement: Administrative fees as base rent surcharges in the "Lease Agreement List" report

The "Rental Agreement List" report has been expanded to display the monthly total of all agreed base rent surcharges for the agreement in the "PAU" column. This allows, for example, administrative fees to be recorded as base rent surcharges and displayed in the report in this manner.

Improvement: The Tenant List (Detail) view now displays all relevant records

The "Tenant List (Detail)" is based on the posting journal and displays records from the respective "posting month." If debit entries with a date other than the posting date were posted as the debit entry month, these were not displayed in the tenant list. The view has been adjusted and now displays all records for the debit entry month.

eTASK.Training Management

New Feature: Employee Search by "Department" in Participant Scheduling

The person search in participant scheduling has been expanded to include an additional filter for "Department," allowing you to select only employees from a specific department.

eTASK.FM Portal

Bug fix: Documentation of cost center changes to the personnel record in the "Record Archive"

Changes to the cost center in the personnel record are now also logged in the "Record Archive."

Bug fix: System error after copying and pasting comments

Copying a comment in a form’s “Comment” function and then pasting it back into the same form caused a system error that subsequently rendered the affected form unusable. This issue has been resolved in the Comment function.

Bug fixes

Correction of various minor bugs and optimizations in various eTASK products.

Improvement: Expansion of input options for bit fields in "Excel Data Import"

The central Excel data import in eTASK now allows the values "True" and "False" for bit fields in addition to the positive values "1, Yes, True" and the negative values "0, No, False".
