Prerequisites for creating an area statement

The basis for a complete space allocation calculation is the accurate entry of floor areas and the locations of employees and/or cost centers in the FM portal. The following data must therefore be accurately recorded:

  • Rooms for accurate space calculation (Portfolio (BIM) – Property Cadastre – Rooms)

  • Space allocations for rooms (Portfolio (BIM) – Property Cadastre – Rooms in the “Allocate Space” dropdown menu): This defines how room area and room costs are distributed. It determines whether the space is billed directly through a cost center, distributed generally according to specific rules, or not billed at all.

  • If a room area is to be billed via a cost center, the cost center to be charged for the room must be specified. There are three options for this:

  1. Assign cost centers directly to the room.

  2. Assign employees to the room (Portfolio (BIM) - Property Cadastre - Rooms in the Room Occupancy section). The employees in the room have cost centers that are indirectly assigned to the room via the employees. All assigned cost centers are charged equally.

Example: If two employees are assigned to the room, the employees’ cost centers are each charged 50% of the room costs.

  1. Assign employees to the workstations in the room (Basic Data - Employee Management - Workstations - Workstations in the Occupancy section). The employees’ cost centers are then indirectly assigned to the workstations in the room.

Once all rooms have been assigned floor space and, for rooms billed directly to cost centers, have been assigned a cost center, the basic data for floor space billing is complete.
