Instructions: Moving Clients (Transferring Records to Another Client)

1. Prerequisites
Prerequisite | Details |

⚠️ Note: The number of clients a user can access simultaneously is limited to 500.
2. Enable logical client management
If you haven’t already:
Navigate to: System Control → Portal Options → Portal Configuration (Metadata)
Set the LOGICAL_CLIENTS parameter to

This will:
The Client column is displayed in all tables
Lists and selection fields are checked for client permissions
Information about clients with access is displayed in the status bar for all users
3. Configure business classes
The business classes define which dependent data is automatically moved to the new client.
Path
Control Panel → Portal Options → Portal Configuration (Metadata) → Metadata → Classes → Business Classes
Procedure
Open the desired business class (e.g., “Vehicles,” “Contracts,” “Companies”)
The form displays all menu items associated with the business class (foreign key relationships)
Configure which dependent objects should be automatically moved to the other clients
Example: For the "Vehicle" business class, contracts, claims, tires, and events can be defined as associated business objects. When the vehicle is moved, these are automatically included.
Important settings in the business class

Move only (V-BOS) with the same client | Linked business objects are only moved if they are in the same client. |
4. Moving Records
There are two ways to move records to a different client:
Method A: Single record
Open the desired record (e.g., a vehicle or a contract).
Click the "Change Client" button in the top-right corner of the menu bar.
Select the destination client.
Confirm the move.
Method B: Bulk Move via Table View
Open the table view for the desired menu item.
Select the desired records using the checkbox.
Use the bulk function → "Change Client" menu item.
Select the desired destination client.
Confirm the move.
5. Notifications
A notification will appear via the notification bell for:
Start of client move
End of the client move
6. Permission Groups and Access After Migration
After moving records to a new client:
Users who do not have access to the target client can no longer view the moved data.
Users assigned to the target client via a permission group will see the data immediately.
The default group may need to be adjusted to prevent it from unintentionally exposing clients.
Recommended steps for permission groups:
Create a permission group for the new client (e.g., "Archive Client").
Assign the client to the permission group.
Assign the relevant users to the permission group.
Check the default group.
7. Typical Use Cases
Archiving companies with associated lease agreements and other data
Manage employee departures (limit the view of the employee list to active employees)
Archive lease agreements with desired associated data
Archiving fleet vehicles with contracts, damage reports, tires, and incidents
Basic control of data visibility through client separation
