This article provides an overview of the data that can be imported during the HR data import. Some data is always imported by default. Other data is imported only if your FM portal has been configured to do so.
Data Always Imported
The following data must be present in the source data at a minimum.
Employee ID
First Name
Last name
Title
Email address
Note: For many eTASK products, assigning employees to cost centers is essential to ensure the product functions properly. These include, for example, eTASK.RoomReservation and eTASK.ServiceTicket. Therefore, it is recommended (but optional) to also import the employee’s cost center.
Optionally imported data
The data listed here can also be imported into the personnel record.
CPID
Title (e.g., “Dr.”)
Date of birth
Employee type (e.g., “Part-time,” “Temporary”)
Information on whether the employee is currently active
Social Security number
Start date
Date of departure
Comments about the employee
Company where the employee works
Department where the employee works
Additional information about the department where the employee works
Cost center through which the employee's services are billed
Secondary cost center through which the employee's services are billed
Landline number where the employee can be reached during the day
Mobile phone number where the employee can be reached during the day
Fax number where the employee can be reached during the day
Employee’s username for the eTASK.FM portal
Note: If your source data is suitable, you have the option to import additional data upon request. eTASK can configure this specifically for you, and the service will be billed on a time-and-materials basis.
Data records created and updated by the import (optional)
eTASK.PersonnelDataImport creates data records for various elements based on the personnel data listed under “Optionally Imported Data.” Using the cost center as an example, this means that only the name of the cost center specified as the primary or secondary cost center for the employee serves as the basis for the cost center data record. The algorithm integrated into the product prevents the creation of duplicates.
The following records can be automatically generated and updated as an option:

Departments
Cost centers
Room assignments for employees (only if the relevant rooms already exist in the FM portal)
Communication (the employee’s communication data (e.g., phone number and mobile phone number) is imported into this record, where it is imported as primary communication data (position = “1”) and only displayed in the employee’s record in the personnel list)
