What is data controlling?

We use the term "data controlling" to refer to the process of checking data completeness against specific criteria. So-called profiles are used for this purpose. The profile defines the data requirements. This allows us to check: Is a property populated or not?

What is a (BIM) profile?

A profile is a template that you apply to your dataset. The exact data requirements are defined in the profile. If required data is missing, this is indicated after the check.

Note: Even though we’re talking about BIM profiles, you can use this feature even without using the Building Information Modeling method. When using BIM, the profiles are also required for mapping.

What are the benefits of using data controlling?

When you create a profile, you can, for example, check whether the "Inspection Date" field is 100% populated for all fire extinguishers. This would let you know if all fire extinguishers have at least one entry for the next inspection date. You could then enter (or have entered) missing data in a targeted manner, thereby improving the data foundation for maintenance.

Prerequisite

  1. You have access to the System Control Panel.

Procedure in the FM Portal

Path to the starting point: System Control - Portfolio (BIM) - BIM Information Management - Profiles

  1. Click New.

  2. Assign a name and a code for your profile.

  3. Click Save.

  4. Now define your “data template” in the Required Fields, Attributes, Documents section.

  1. To do this, search for the desired table in the selection window on the left and click Add Table.

Note: You can also specify that a document must always be associated with certain objects and check the data set accordingly. To do this, select the Add Document Types tab.

  1. Now use the left-hand side to specify which attributes must be filled in.

Example: In this example, it is specified that every vehicle in the system must have an entry in the Vehicle Type attribute and an entry in the Identification attribute.

  1. In the Apply Validation section, click in front of the corresponding building to select which buildings your validation applies to.

  2. Click Save.

  3. Select the model in the "Follow Profile" section for the transfer of the following building models.

  4. In the toolbar, under Tools, click Update Validation.

  1. In the BIM Mapping Check section, you can see in the traffic light view to what extent the required fields have already been filled in.

Recommendation: If you create a single entry for multiple employees under Profile Validation and assign a building, you can distribute the tasks for filling in the required fields if the data is insufficient.
