To make it easy to get started with the various eTASK workflows, a central "Service Home" page can be enabled in the portal. This offers greater convenience for users. Clicking on a tile launches the corresponding workflow. Users can select the tile that best matches the nature of their request.
Recommendation: You can configure in advance that certain fields are hidden or displayed immediately upon opening the workflow form, make them required fields, or have them pre-filled with content (e.g., the building where the person creating the ticket is located).
You can set the service homepage as the start page for your FM portal or integrate it as an iframe into existing, external company service offerings, such as the intranet or website.
The service tiles, which are visible in the dashboard and allow users to easily create new tickets, can be edited in the System Settings.
Prerequisite
You have permissions in the Control Panel.
Procedure in the FM Portal
Path to the starting point: Control Panel - MyFM - Service Tiles - Service Tiles
To create a new service tile, click New in the toolbar.
Specify the tile’s position using the required field Position.
In the Workflow Table field, either select the workflow table where the user’s new ticket entries should appear, or enter a start link in the Start Page field.
Enter a tile title and a descriptive tile text.
Note: Do not insert any HTML commands here. For security reasons, these cannot be used here.
You can customize your tile’s color settings using hexadecimal values in the Color and Text Color fields.
If you selected a workflow table in the third step, enter the workflow and the desired start step in the Workflow and Start Step section.
Click Save in the toolbar.
Note: You can make the tiles visible by checking the Active box.
You have created a new service tile.
Note: If a user does not click Submit, the unsubmitted ticket will be automatically deleted after 14 days.
Tip: If you want to make your predefined form accessible to users outside the portal, copy the link to your service tile page and add the following suffix: ?Headeroff=true&Menuoff=true. Copy the entire link and make it available, for example, on the intranet. Of course, it is also possible to hide only the header (suffix: ?Headeroff=true) or only the menu (suffix: ?Menuoff=true).
