A workspace group refers to a virtual area that can encompass multiple workstations spread across several rooms, floors, buildings, and locations.

Using a workstation group, you can implement a flexible occupancy concept in which people do not occupy a fixed workstation. The workstation group also allows you to analyze occupancy and perform space billing.

Procedure in the FM Portal

Path to the starting point: Basic Data - Employee Management - Workstations - Workstation Group

  1. Click New in the toolbar.

  2. Enter a code and a name, such as "Desk-sharing Zone."

  3. In the Color Code section, you can specify how the workstation group should be displayed in the visualization options.

Note: In this information area, you can specify which colors should be used to display this workstation group in a visualization (building plan). To do this, you can select various foreground and background colors and combine them in a hatch pattern. The foreground color is always applied to the hatch pattern, while the background color fills the empty areas within the hatch pattern. Using display variants, preconfigured views of the building data can be made available in the BIM Explorer.

  1. Click Save.

You have created the workstation group.

You can now create workstations and add them to this group.

Note: Workstations must be assigned to employees to enable desk sharing—that is, flexible workstation booking—later on.

Recommendation: To enable desk sharing, create a virtual workstation group. Add freely available workstations to the group to make them bookable later. Then, under Basic Data - Room Occupancy, select multiple employees who will share the seats in the workstation group.
