Create communication data

This form allows you to enter as many contact details as you like for a person. A separate entry is created for each possible form of communication.

Entries with the position "1" are used as the primary contact information in the person's form.

Path to the starting point: Basic Data - Employee Management - Communication

  1. First, select the type, i.e., the contact method (e.g., "Phone" for a phone number).

  2. If necessary, enter a description for the communication entry.

  3. Enter an address or number for the selected type.

  4. In the Position / Order field (default = 1), define a number for the position in the order of contact data for the respective type.

Note: There may be one entry with the position "1" for each type. This is displayed for the person as the primary contact for this type. Additional contact data of the same type, e.g., a second phone number, can be stored here with consecutive numbers, starting with "2".

Note: A communication record can be linked in various ways to other structures in eTASK. Please note that in most cases, it does not make sense to make multiple selections.

The communication record belongs to either a person or a workstation. If the person has been assigned to a workstation, the workstation’s communication data is derived from the chain: Communication – Person – Room Assignment – Workstation.

  1. In the Employee field, select the person for whom the communication details are being managed. (If the form was accessed via the "Personnel" form, the employee is already preselected here.)

  2. In the Associated Object field, specify which object this communication data is assigned to. You can use this, for example, to assign a number to a mobile phone or a laptop with a SIM card.

  3. Select the room to which the communication data should be assigned.

  4. Select the workstation to which the communication data should be assigned.

  5. Select the department to which this communication data is assigned.

  6. In the "Function Holder" field, specify whether the communication data record belongs to a person who holds an HSE function and requires a separate, anonymized communication channel for this purpose.

  1. Select the company or government agency to which this communication data is assigned.

  2. Click Save in the toolbar
