To enable cleaning scheduling and job billing, you first need basic data that reflects the cleaning services to be performed in the system. This is a very simple process in which you only need to create records and link them together. This article lists the relevant tables and explains the process using window cleaning as an example.
Procedure in the FM Portal
Create a reference value: Control Panel - Infrastructure Building Management - Cleaning Management - Reference Values
Example: Window cleaning can, for example, be billed based on the number of windows. In this context, the reference value “Piece” is required. Use, for example, the code “STK” and the description “Piece.”
Create a service group: System Control - Infrastructure Building Management - Cleaning Management - Service Groups
Example: For example, use the code “FE” and the description “Window Cleaning” and assign the reference value “Piece.”
Create a service type: Control Panel - Infrastructure Building Management - Cleaning Management - Service Types
Example: For example, use the code "FE" and the description "Window Cleaning" and assign the service group "Window Cleaning".
Create a quality: System Settings - Infrastructure Building Management - Cleaning Management - Qualities
Example: Windows are cleaned once a month by default. Use, for example, the code “ST” and the description “Standard.” If, for example, you have representative rooms where the windows should always be clean and therefore need to be cleaned once a week, you could create the quality “PR | Premium” for this purpose.
Create a cleaning interval: Control Panel - Infrastructure Building Management - Cleaning Management - Cleaning Intervals
Example: As mentioned earlier, the windows are cleaned once a month. Therefore, the interval is required, for example, with the code “1x/Month” and the designation “monthly.”
Create a combination of service type, quality, and interval: Control Panel - Infrastructure Building Management - Cleaning Management - Quality-Service Types-Interval
Example: Select the created quality, service type, and interval.
Cleanings can now be scheduled using the created base data.
