A timer job checks a configured mailbox at regular intervals and processes the emails found there based on the configuration of the recipient addresses. All recipient addresses to be processed (multiple addresses can be configured for a single mailbox as aliases) must be configured in the FM Portal.

Setup is done in three steps:

  • Configure the mailbox (this guide)

  • Set up email recipient addresses

  • Set up the CheckPortalEmailInbox timer job

To use the FM Portal’s email notifications, you must first configure the email inbox. The procedure depends on whether the Exchange server is located on your own network or on an external network.

Prerequisite

  • An Exchange server is available

  • A mailbox for the FM Portal has been set up on the Exchange server

  • For Outlook: This mailbox is not an alias mailbox. If multiple mailboxes are to be used as a primary mailbox, distribution lists must be used for this purpose

Procedure Server on your own network

Path to the starting point: Control Panel - Portal Options - Portal Administration - System Configuration

  1. Open the MAILFROMADDRESS record and enter the email address of the mailbox on the Exchange server.

  2. Open the INBOUNDEMAILUSER record and enter the username for accessing the mailbox on the Exchange server.

  3. Open the INBOUNDEMAILPASSWORD record and enter the password for accessing the mailbox on the Exchange server.

The mailbox is now configured.

Procedure for servers in external networks

Path to the starting point: Control Panel - Portal Options - Portal Administration - System Configuration

  1. Open the MAILFROMADDRESS record and enter the email address of the mailbox on the Exchange server.

  2. Open the INBOUNDEMAILUSER record and enter the username for accessing the mailbox on the Exchange server.

  3. Open the INBOUNDEMAILPASSWORD record and enter the password for accessing the mailbox on the Exchange server.

  4. Open the EWSURL record and enter the address of the Exchange Web Services on the Exchange server.

The mailbox is now configured.

Note: Incoming emails that cannot be processed for various reasons are moved to the "Unprocessed" or "Processing Error" folders and do not appear in the eTASK.FM portal. Check these folders regularly to ensure you don’t miss any important emails.
