Clean up building data after initial import

If you have imported a building model for a building that already exists in the FM Portal, you will need to perform a data synchronization, as all building data will now be duplicated. You only need to do this after the first import of the building model; for all subsequent imports of the building model, the existing data will be updated rather than recreated.

Prerequisite

  • You have imported a building model

  • The building associated with the building model already exists in the FM Portal

  • You have administrative rights

Procedure in the FM Portal

Path to the starting point: System Settings - Portfolio (BIM) - BIM Model Management - Assignment: Model to Building

  1. Click New... in the list's toolbar. An empty form opens.

  2. Select the building model and the building created by the import in the FM Portal. In the Building Assignment attribute (for existing building data mapping), select the building that existed prior to the import and that you want to link to the building model.

  3. Click Save in the toolbar.

  4. Under Control Panel - Portfolio (BIM) - BIM Model Management - Models, open the building model you imported. In the toolbar, under Tools, click Synchronize Data via Building Assignment. Confirm the prompt with Yes.

  5. In the background, the data for the building newly created by the import and the previously existing building will now be reconciled. For the data to be successfully merged and the building model linked to the building, all data must be identical. If there are differences in the data, these will first be listed for floors; after they are resolved, they will then be listed for rooms, workstations, doors, and objects. You can also view these lists at any time under System Settings - Portfolio (BIM) - BIM Model Management - Building Assignment Reports. To resolve these differences, you have two options:

  1. Go to the data records of the building that existed prior to the import and adjust them so that they match the specifications from the building model.

  2. Go to the modeling software for your building model and adjust the building model so that it matches the specifications from the existing building. Now import it again (after you have gone through all the lists).

Note: If possible, do not make any changes to the building records created by the import, as these will not be transferred to the building model and will be deleted after the data synchronization. If you make changes to these data records, ensure that you also make the same changes in the modeling software for your building model. Otherwise, problems will arise when the building model is imported into the FM Portal again.

  1. Once you have resolved all discrepancies in the data, click on "Synchronize Data via Building Assignment" under "Extras" in the model again and confirm the prompt with "Yes." If there are no further discrepancies, the data synchronization will be completed.

The records created by importing the building model have been deleted. The records that existed prior to the import are permanently linked to the building model. If you wish to import the building model again in the future, you can do so without having to perform another data synchronization. Any changes from the building model will be automatically applied to the existing records for the building.
