Note: The logical client functionality was first released in the September 2023 release and has been further developed since then. It is still in the beta phase. To use additional clients, you must purchase a paid plugin!
Note: The number of clients a user can access simultaneously is limited to 500. Data from any additional clients will not be displayed.
Clients allow you to restrict the visibility of certain data.
A logical client is a separate data area within an eTASK system (portal). The business data within a client is protected from access by all other clients.
The default client is named "Default Client 01." All data is now available in the default client.
By default, client management is always disabled in the portal.
Advantages of clients
Clients ensure a clear separation of data
Only authorized persons can access specific clients.
Unauthorized users cannot view the data or structures of other clients.
Data that is no longer actively used but must be retained for legal reasons can be moved to a separate location and stored securely.
Furniture or inventory items that have been decommissioned are moved to an archive tenant instead of being deleted.
Complex organizations (e.g., with multiple locations or subsidiaries) maintain an overview through separate data areas.

Note: Ensure that a user is available in a group with the "Administrator Group" option enabled and that you know the user’s password OR that at least one permission group has been granted access to the default client and there are users in that group. Otherwise, activating this will lock you out of the portal’s data!
Select the system parameter LOGICAL_CLIENTS.
Enter "1" as the configuration value.
Click Save.
Log out of the portal and log back in.
You have activated logical client management. This will:
the Client column is displayed in all tables
Lists and selection fields are checked for client permissions
information about clients with access rights is displayed in the status bar for all users (details in the user profile)
the "Change Client" action is displayed in every form
All records in the portal currently belong to the default client with the number 01. This can be renamed freely. New clients can now be created and named in the same location.
Now create additional clients to supplement the default client under System Settings - Portal Options - Rights Management - Clients by clicking New.
Assign permission groups to these clients to grant access to data within each individual client.
Once multiple clients exist and permission groups with access to these clients have been created, records can be moved between clients.
Note: To move a record, you must have access rights to both the old and the new clients.
Permissions for clients are cumulative, meaning a user in one permission group for a function—e.g., contract management—can access contracts, and in another permission group can access one or more clients. It is not necessary to duplicate permission groups for functions to assign client permissions in each case.
Note: eTASK recommends separating permission groups for functions from permission groups for logical clients and not assigning menu items to permission groups for clients, so as not to further complicate the overview in permission management.
